Description
Our client, a global leader in healthcare and crop science innovation, is seeking to appoint a Supply Chain Specialist to support country supply planning and manage end-to-end import and export operations. The successful candidate will support execution of demand and supply plans, ensure secured product availability, and coordinate all import/export activities to guarantee timely, compliant, and cost-effective delivery of goods.
Responsibilities:
Responsible for supporting the Country Supply Planner in tasks relating to execution of Demand Plans that will enable the Commercial Teams to meet Sales objectives in country for portfolios Crop Protection (incl Glyphosate/Acetochlor); & Row Crop
Prepare Supply Plan based External Sales Forecast and co-ordinate the Supply Plan commitments/deliverables with Site Logistics to ensure secured supply according to Demand. (Crop Protection/Row Crop/Environmental Science).
Execute inter-company purchases/Stock Transfer orders for Finished Goods/ Seeds and co-ordinate deliveries with Imports Specialist for on time replenishment of local DCs
Provide feedback on spot orders – check ability to supply
Follow up with TRIA Team and PS colleagues in EMEA (for CP) and Africa (for RC) to process SO’s to supplying plants.
Local Inventory Management
- Report out on KPI’s including Inventory and Slow Movers and follow up on actions to reduce slow movers and minimize stock redundancies.
- Execute Material availability within SAP (PO processing, Delivery dates, Mode of transport) as agreed & negotiated between Country Supply Planning Managers & RSM’s Site /production Planners
- Preparation of inputs/outputs for Country Sales & Operational Executional Planning (S&OE) meetings and provide relevant feedback to stakeholders
- Provide relevant in- and output for Weekly S&OE (Short term) to facilitate increased agility and data based decision making.
- Complaint Management and Raising claims with our Insurance or relevant persons if consignments are damaged, short shipped or lost.
- Performed any other duties assigned by the line Manager.
Import & Export Focus Role
- Process export permits and documents for CP, Row Crop finished seeds and Row seed and communicate with broker on customs processing, clearance and onward forwarding of consignments to customers & desired DCs.
- Co-ordinate all aspects of air/ocean freight orders, abiding by import customs regulations and tracking goods from loading point through to delivery to the desired DCs.
- Support order fulfilment and transportation cycle in arranging for PVOC where required, ensure timely loading, maintain scheduled departures and track goods from loading point through to delivery to the desired DCs.
- Liaise with Order Management on execution of direct export orders and ensure smooth shipment of products from supplying plants to destination countries. Organise dispatch of original documents to customers.
- Support Customer Interaction in ensuring customers are promptly updated on status of their orders and advice Supply Planning on any foreseen delays.
- Liaise with government regulatory bodies (Kebs, PCPB, Kephis and Chamber of Commerce etc.) to ensure export permits & COOs are promptly processed.
- Keep abreast with export regulations and developments and report on any new changes.
- Process Payments for government agencies, 3rd party service providers and customs Broker and liaise with Finance dept to ensure payments are done within stipulated timelines.
- Ensure exports are done as per the Exports Standard Operating Procedures and maintain accurate Documents (electronic and Hard copy), Goods Inspection, collection and customers receipts to support ISO, internal and other external audits.
- Update respective internal databases in SAP for exports goods receipt and Logistics GRVs processing, T&C for HS Code authenticity and PCPB for export permits. Update respective internal databases for imported goods and GRVs for Row Crops and Finished seeds, liaising with Trade & Compliance for HS Code authenticity and follow up with Kentrade Single Window System for permit issuance and e-slip processing.
- Co-ordinate and monitor export documentation to verify legal compliance to trade laws & ensure LC instructions are fully complied with to avoid penalties and shipment delays.
- Liaise with freight forwarders for freight forwarding quotations ensuring total transparency in selection of the most efficient and cost effective transporter/service provider.
- Produce bi-weekly updates on export orders, provide feedback on product non-availability and highlight areas likely to affect the monthly export budget.
- Support implementation of Supply Chain projects within the Africa supply chain.
- Coordinate returns and buy-backs for CP and RC from DCs to supplying plants.
- Ensure import documents are received and dispatched to clearing agents 7 days prior to arrival of consignments for Sea-freight and 2 days for airfreight consignments. Oversee clearance process providing status updates and prompt feedback on any delays envisaged..
- Ensure import orders are processed as per the Imports SOPs and maintain both electronically and in hard copy accurate import documentation, customs & third-party provider receipts to support ISO, internal and external audits.
- Provide Warehouse and Customer Interaction teams with advance documentation for expected orders to enable confirmation of quantities and batch numbers on receipt of goods.
- Produce and maintain varied reports namely: Monthly cost analysis for sea & airfreight consignments, bi-weekly reports on IDF & import permits status and monthly Import returns for submission to KRA.
- Perform any other duties assigned by the line Manager.
Requirements
- Degree in Purchasing; Procurement or Supply Chain Management
- 5 years experience in Distribution & Warehousing
- Membership with Zambia Institute of Purchasing and Supply (ZIPS)
- Mandatory Computer Literacy with SAP Knowledge
- Handling the Seed and Agri-input chemicals is advantage.
- People management skills.
- Outstanding communication, organization and coaching skills
- Strong influencing skills (leading without authority)
- Fluency in one local language & English required
