1. JOB PURPOSE

The Warehouse Supervisor is responsible for the effective management and control of all inventory, raw materials, spare parts, packaging materials, and supplies within the company's stores and warehouse.

The position ensures that materials are accurately received, inspected, recorded, stored, issued, and reconciled in accordance with company procedures. The role is also responsible for maintaining accurate inventory records, minimizing stock losses and variances, ensuring material availability to user departments, and maintaining high standards of safety, housekeeping, and internal control.

2. KEY RESPONSIBILITIES

The person in this position will be directly responsible for:

1. Receiving, inspecting, and accurately recording all incoming materials, spare parts, packaging materials, and supplies into the inventory management system.

2. Issuing materials to authorized users and ensuring all stock movements are properly documented and approved.

3. Monitoring stock levels and maintaining accurate inventory records, including minimum and maximum stock levels.

4. Initiating replenishment requests where necessary to prevent stock shortages and operational disruptions.

5. Conducting regular stock counts and reconciliations, investigating variances, and reporting discrepancies.

6. Ensuring proper storage, identification, preservation, and organization of all materials within the stores and warehouse.

7. Monitoring the shelf life and expiry dates of raw materials, chemicals, and other time-sensitive inventory.

8. Ensuring compliance with company policies, internal controls, health and safety requirements, and approved procedures relating to inventory management and storage.

9. Preparing inventory and stock status reports for management.

10. Coordinating with Procurement, Production, Engineering, and other departments to ensure timely availability of required materials.

3. SPECIALISED DUTIES

1. Inventory management, including monitoring stock levels, maintaining accurate records, and updating inventory systems and GRNs.

2. Receiving, inspecting, and storing raw materials, spare parts, and other supplies

3. Issuing materials to departments and ensuring proper documentation of all stock movements

4. Conducting stock counts, reconciliations, and investigating inventory variances

5. Communication, reporting, and ensuring compliance with safety, housekeeping, and company procedures.

Experience

· Minimum of 3 years' relevant work experience in the FMCG industry, preferably in stores, warehouse, inventory control, or supply chain operations.

· Experience with inventory management systems, ERP systems, or warehouse management systems is preferred.

· Previous experience in stock control or warehouse supervision will be an added advantage.

Skills and Competencies

The candidate should demonstrate:

· Good inventory management and stock control skills.

· Strong attention to detail and accuracy.

· Good numerical and analytical skills.

· Good communication and interpersonal skills.

· Good organizational and time-management skills.

· Ability to investigate and resolve stock discrepancies.

· Ability to work effectively with Production, Engineering, Procurement, and other departments.

· Good computer literacy and ability to use inventory management systems.

· Strong understanding of warehouse/store safety and housekeeping requirements.

· Ability to work independently while also functioning effectively as part of a team.

Other Requirements

· Must be willing and able to work effectively in a team.

· Must be willing to work 8 hours or beyond normal working hours when required by operational needs.

· Must be physically capable of working in a warehouse environment.

· Must demonstrate integrity, accountability, reliability, and a high level of attention to detail.
