Background

Zambeef Products PLC is the largest integrated cold chain food products and agribusiness company in Zambia and one of the largest in the Southern Africa region. It is involved in the primary production, processing, distribution, and retailing of beef, chicken, pork, eggs, dairy, fish, flour, stock feed and day-old chicks throughout Zambia and the surrounding region.

Responsibilities

• Receiving and entering customer orders into the system accurately
• Verifying pricing, quantities, product codes, and customer details
• Confirming stock availability with warehouse/inventory team
• Updating customers on order status, delays, or backorders
• Handling order changes, cancellations, and special requests
• Generating invoices, delivery notes, and shipping documents
• Ensuring orders comply with company policy and any regulatory requirements
• Investigating and resolve order discrepancies, damages, or short shipments
• Escalating issues that could impact delivery timelines
• Coordinating returns and replacements when needed
• Tracking order KPIs: on-time delivery, order accuracy, backlog
• Providing daily/weekly reports to management on order status

Qualifications and Experience

• Grade 12 School Certificate
• Diploma in Business Administration, Supply Chain, Logistics, or related field
• 1–3 years in order processing, customer service, or admin roles
• Strong attention to detail, organization, communication, and problem-solving under pressure

Required Attributes

• Communication Skills: be able to communicate in an efficient and clear manner
• Problem-solving skills: able to resolve issues within the department
• Decision making: ability to make decisions
• Experience in FMCG, manufacturing, or wholesale distribution
• Basic inventory principles
• Customer service mindset
