About the Role

Digital Office Solutions Limited (DOS) is seeking a proactive and highly organized Operations Assistant to support day-to-day administrative and logistical functions within the business. This role works closely with the DOS leadership team to ensure smooth coordination across office operations, finance-related tasks, and general business support functions.

The ideal candidate is detail-oriented, dependable, and capable of managing multiple responsibilities in a fast-paced environment.

Key Responsibilities

  • Assist with statement reconciliations of local and international suppliers, ensuring accuracy and timely follow-ups
  • Support internal coordination of logistical and operational activities
  • Oversee office maintenance, ensuring a clean, functional, and well-managed workspace
  • Manage fleet operations, including vehicle scheduling, servicing, licensing, and compliance
  • Handle statutory obligations including NAPSA registrations and submissions
  • Manage and process supplier registrations, including documentation, submissions, and follow-ups
  • Track and manage renewals of company certificates and licenses, ensuring full compliance and timely submissions
  • Coordinate and monitor renewal of all ICT professional certificates for relevant staff
  • Support and track company statutory compliance across all relevant regulatory bodies, ensuring adherence to government requirements
  • Liaise with vendors, service providers, and internal teams as required
  • Maintain accurate and organized records, files, and documentation
  • Provide general administrative and operational support across the organization

Requirements

  • Proven experience in an administrative, operations, or support role
  • Strong organizational and multitasking abilities
  • Basic understanding of financial processes, including supplier reconciliations
  • Familiarity with statutory compliance processes (NAPSA experience is an advantage)
  • Experience with supplier onboarding/registrations is an added advantage
  • Good communication and interpersonal skills
  • Proficiency in Microsoft Office (Excel, Word, Outlook)
  • Ability to work independently and take initiative
