About the Role
Digital Office Solutions Limited (DOS) is seeking a proactive and highly organized Operations Assistant to support day-to-day administrative and logistical functions within the business. This role works closely with the DOS leadership team to ensure smooth coordination across office operations, finance-related tasks, and general business support functions.
The ideal candidate is detail-oriented, dependable, and capable of managing multiple responsibilities in a fast-paced environment.
Key Responsibilities
- Assist with statement reconciliations of local and international suppliers, ensuring accuracy and timely follow-ups
- Support internal coordination of logistical and operational activities
- Oversee office maintenance, ensuring a clean, functional, and well-managed workspace
- Manage fleet operations, including vehicle scheduling, servicing, licensing, and compliance
- Handle statutory obligations including NAPSA registrations and submissions
- Manage and process supplier registrations, including documentation, submissions, and follow-ups
- Track and manage renewals of company certificates and licenses, ensuring full compliance and timely submissions
- Coordinate and monitor renewal of all ICT professional certificates for relevant staff
- Support and track company statutory compliance across all relevant regulatory bodies, ensuring adherence to government requirements
- Liaise with vendors, service providers, and internal teams as required
- Maintain accurate and organized records, files, and documentation
- Provide general administrative and operational support across the organization
Requirements
- Proven experience in an administrative, operations, or support role
- Strong organizational and multitasking abilities
- Basic understanding of financial processes, including supplier reconciliations
- Familiarity with statutory compliance processes (NAPSA experience is an advantage)
- Experience with supplier onboarding/registrations is an added advantage
- Good communication and interpersonal skills
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Ability to work independently and take initiative
