Position Overview
As an Assistant HR Officer, you will play a key role in supporting recruitment, employee relations, payroll processing, and record-keeping activities. You will assist with preparing employment letters, scheduling interviews, maintaining HR systems, and guiding employees to appropriate HR contacts for specialized queries. Your work will help maintain an efficient and compliant HR environment within the company.
Key Responsibilities
- Respond to internal and external HR-related inquiries and requests promptly.
- Manage calendars and schedules for the HR management team.
- Assist with recruitment activities including job postings, resume screening, and interview coordination.
- Support onboarding by preparing induction materials and conducting orientation sessions.
- Maintain accurate employee records and update HR databases regularly.
- Assist in payroll administration and employee benefits management.
- Provide guidance and support on HR matters to employees.
- Organize training and development programs to enhance staff skills.
- Support the performance appraisal process and maintain performance documentation.
- Help implement and enforce HR policies and procedures.
- Coordinate employee relations activities and company events.
- Prepare HR reports and presentations as required.
- Serve as liaison with benefit vendors and administrators.
Skills and Competencies
- Excellent communication and interpersonal skills.
- Strong organizational and time management abilities.
- Attention to detail and ability to maintain confidentiality.
- Team-oriented with good listening skills.
- Ability to handle sensitive information with integrity.
Qualifications and Experience
- Diploma or degree in Human Resources, Business Administration, or a related field.
- Minimum of 3 years’ experience in HR support roles such as HR Assistant or Coordinator.
- Experience in the construction industry is advantageous.
- Solid knowledge of recruitment, onboarding, payroll, and employee relations processes.
- Proficiency in MS Office suite (Word, Excel, PowerPoint) and HRIS software.
- Familiarity with labor laws and employment regulations in Zambia.
- Membership with the Zambia Institute of Human Resource Management (ZIHRM) is required.
