PURPOSE OF THE JOB:

Our client, an energy and infrastructure development company operating in Zambia is seeking a Warehouse Manager will be responsible for overseeing all warehouse operations, including the receipt, storage, and dispatch of goods, ensuring the warehouse is operating efficiently, safely, and in compliance with relevant regulations. The role is critical to maintaining the accuracy of stock levels, optimizing inventory management, and ensuring smooth operational workflows. The Warehouse Manager will play a key role in coordinating with internal departments and external vendors, contributing to the overall supply chain effectiveness and cost management.

KEY ACTIVITIES:

Inventory Governance

  • Take full operational ownership of warehouse and stock management.
  • Ensure physical inspection of all incoming materials.
  • Create GRNs only after verification.
  • Maintain FIFO/LIFO compliance.
  • Control stock adjustments, damages, and returns.

PR–PO–GRN Workflow Enforcement

  • Verify all PRs for stock availability and specification accuracy.
  • Reject incomplete or inaccurate PR submissions.
  • Ensure POs are issued only against approved PRs.
  • Enforce compliance on emergency and petty cash purchases.

ERP & System Control

  • Update ERP stock daily.
  • Ensure real-time recording of all stock movements.
  • Conduct monthly stock reconciliation.
  • Prepare inventory data for SAP migration.

Material Issuance Control

  • Ensure all material issuance occurs through system-generated Issue Vouchers.
  • Prohibit undocumented stock movements.
  • Monitor departmental consumption patterns.

Reporting & Compliance

  • Conduct monthly cycle counts and quarterly full stock audits.
  • Submit monthly inventory control reports.
  • Coordinate with Finance on PO–GRN–Invoice matching.
  • Maintain full audit documentation.

QUALIFICATIONS

  • Bachelor’s degree in Accounting, Finance, Supply Chain, or related field.
  • Minimum 6 years’ experience in warehouse/inventory control.
  • Strong ERP system experience (SAP preferred).
  • Sound understanding of financial controls and audit compliance.

KEY COMPETENCIES AND SKILLS

  • Expertise in streamlining warehouse operations to ensure maximum productivity, minimize costs, and enhance service levels.
  • In-depth knowledge of inventory control principles, stock rotation methods, and the ability to maintain accurate records and reports.
  • Strong understanding of logistics, inbound/outbound shipping, and supply chain dynamics.
  • Ability to work closely with suppliers, vendors, and third-party logistics providers.
  • Comprehensive knowledge of warehouse safety standards and regulations. Experience in implementing safety procedures and conducting risk assessments.
  • Strong analytical skills and the ability to make sound decisions under pressure, addressing operational issues proactively and efficiently.
