HR ASSISTANT JOB DESCRIPTION

Job Title: HR Assistant

Reports To: HR Manager

Location: Kitwe

KEY DUTIES AND RESPONSIBILITIES

  • Maintain accurate and up-to-date employee personal files, contracts, leave records and other HR documentation.
  • Assist with recruitment and selection of drivers, operations staff, workshop employees and other company personnel, including advertising, shortlisting, interviews and reference checks.
  • Coordinate employee onboarding, induction and orientation, including collection and verification of required employee documents.
  • Monitor employee attendance, absenteeism, lateness and leave, and prepare attendance reports for management.
  • Assist in processing monthly payroll information, including attendance, overtime, allowances, deductions, leave and other employee-related payroll inputs.
  • Assist with employee performance management, probation reviews, appraisals and preparation of relevant HR documentation.
  • Support the HR Manager in handling employee relations, disciplinary matters, grievances and workplace complaints in accordance with company procedures.
  • Maintain records of employee movements, transfers, promotions, confirmations, resignations, terminations and contract renewals.
  • Assist in communicating HR policies, procedures, notices and other important information to employees.
  • Support employee welfare activities and promote positive working relationships between employees, supervisors and management.
  • Prepare routine HR reports and provide accurate HR information to management as required.
  • Ensure confidential handling of employee information and maintain proper filing and record-keeping systems.
  • Assist with ensuring employees comply with company rules, procedures, health and safety requirements and other workplace standards.
  • Perform any other HR and administrative duties assigned by the HR Manager or Management.

KEY REQUIREMENTS

  • Grade 12 Certificate.
  • Diploma or Degree in Human Resources Management or related field.
  • Membership with ZHRIM is an added advantage.
  • Previous experience in HR administration, preferably in a logistics, transport, construction or operations environment.
  • Good knowledge of Microsoft Word and Excel.
  • Good communication and interpersonal skills.
  • Ability to maintain confidentiality and handle employee matters professionally.
  • Good organisational and record-keeping skills.
  • Good understanding of Zambian Labour Laws.
