Right to Care Zambia (RTCZ) has been at the forefront of public health innovation since our incorporation in 2016, providing high impact Technical Assistance and Direct Service Delivery in partnership with the Ministry of Health. ABOUT THE POSITION

QUALIFICATIONS AND EXPERIENCE

Minimum Required Qualifications and Experience:

  • Diploma in Human Resource Management, Public Administration or related field.
  • A minimum of 3 years’ experience in Human Resources administration.
  • Paid-up member of the Zambia Institute of Human Resource Management (ZIHRM)

Desirable Qualifications and Experience:

  • Degree in Human Resource Management, Public Administration, or related field.
  • 3+ years’ experience working in a similar role preferably in the NGO or donor funded environmemt
  • Experience in leave, contract, and employee records management.
  • Experience using HRIS/payroll systems is an added advantage.

TECHNICAL AND BEHAVIOURAL COMPETENCIES

  • Knowledge of Zambian labour legislation advantageous.
  • Good understanding of Zambian labour laws and HR best practices.
  • Experience in recruitment and onboarding processes.
  • Knowledge of leave, contract, and employee records management.
  • Ability to maintain confidential employee information.
  • Computer literate (Microsoft Windows & Office Suite).
  • Strong interpersonal and communication skills.
  • Excellent organizational and administrative abilities.
  • Attention to detail and accuracy.
  • Ability to prioritize tasks and meet deadlines.
  • Team player with strong customer service orientation.

KEY PERFORMANCE AREAS

Recruitment & Selection

  • Administering recruitment processes, including placing adverts, liaising with recruitment agencies, and managing candidate correspondence.
  • Shortlisting candidates and coordinating interviews, assessments, and pre-employment checks.
  • Maintaining accurate and up-to-date recruitment records and documentation.

Employee Records & HR Documentation

  • Maintaining accurate and up-to-date personnel files and employee records.
  • Administering and Filing contracts, performance reviews, disciplinary records and both medical and funeral insurance documentation.
  • Maintaining records of professional registrations and other HR-related documentation.

Employee Lifecycle Administration

  • Administering employee onboarding, induction, and probation processes.
  • Processing employee transfers, promotions, contract renewals, and changes in working conditions.
  • Supporting employee exits and other separation processes.

HRIS Management

  • Creating and maintaining employee profiles and issuing ESS and Time & Attendance login credentials.
  • Updating and maintaining ESS and Time & Attendance systems for all employees.
  • Generating monthly attendance reports, monitoring discrepancies, and escalating issues for resolution.

Payroll & Monthly HR Administration

  • Collating and submitting payroll inputs, including timesheets and new starter documentation.
  • Ensuring complete and accurate personnel files are submitted to the Payroll Department.
  • Supporting month-end HR and payroll processes and ensuring timely submission of required inputs.

Employee Support

  • Serving as the first point of contact for People & Culture-related queries from employees and managers in the designated province.
  • Providing guidance and support on HR policies, procedures, and processes.
  • Providing relevant HR templates, forms, and documentation to managers and employees.
  • Conducting periodic HR engagement meetings for the province.

HR Reporting & Establishment Management

  • Maintaining accurate and up-to-date staff and establishment lists.
  • Providing input for HR reports and ensuring required information are available within set deadlines.
  • Reviewing monthly staff lists and ensuring all changes are communicated to payroll department and accurately initiated in SAGE.

Performance Management

  • Supporting the administration and monitoring of employee performance management processes.
  • Tracking the completion of probation reviews, performance appraisals, and performance-related documentation.
  • Maintaining accurate performance management records and databases and providing regular progress reports to the P&C Management team.

Leave Management

  • Administering employee leave requests and maintaining accurate leave records.
  • Monitoring leave balances and ensuring leave transactions are accurately captured in the ESS system.
  • Reviewing monthly leave reports and following up on outstanding or pending leave transactions.
