About the Role
The Administrative Executive will provide comprehensive administrative support across the organization by coordinating office activities, maintaining records and filing systems, preparing correspondence and reports, and supporting procurement and logistics activities.
Key Responsibilities
- Handling supplier quotations and stock requisitions.
- Good knowledge in procurement and vendor management.
- Raising local purchase orders to be sent out to suppliers.
- Obtaining and analyzing quotations from suppliers to ensure that they match with the required specifications.
- Liaise with suppliers and service providers to support administrative and office requirements.
- Issuing payment receipts and system-generated invoices to customers.
- Preparing daily and monthly sales reports.
- Daily monitoring of all company fleet, log books and maintaining fuel records for all vehicles.
- Preparing daily fleet management reports.
- Having good knowledge in handling stocks of machinery’s spares.
- Close monitoring of stock levels.
- Handling warranty claims and keeping records of claims.
- Perform any other duties assigned by management.
Requirements & Qualifications
- Bachelor’s Degree in Business Administration or in a related field.
- Minimum of 5+ years of relevant administrative or office support experience.
- Experience in handling spares parts will be an added advantage.
- Should be able to drive a manual and automatic vehicle with valid driving license.
- Proficiency in Microsoft packages.
- Very good communication and written skills in English.
- Preferably male candidates.
