PURPOSE

The Finance & Administration Officer will support the effective financial and administrative management of the Youth Empowerment and Transformation Trust (YETT), helping to ensure that resources are planned, managed, recorded and reported accurately and in line with organisational policies and donor requirements. Working closely with YETT’s Finance & Administration and Programme teams, the officer will contribute to strengthening practical systems for budgeting, financial reporting, compliance, procurement, administration, documentation and operational planning.

As part of the professional exchange, the officer will contribute existing skills and experience while engaging in reciprocal learning and knowledge exchange. Particular emphasis will be placed on identifying and strengthening finance and administration practices, systems and tools that can be sustained within YETT beyond the exchange, including the practical and responsible use of digital and AI-supported tools.

RESPONSIBILITIES

  • Support the preparation, monitoring and review of organisational and project budgets.
  • Track expenditure, cash flow and budget performance and assist with variance analysis.
  • Process and maintain accurate financial records in accordance with YETT policies and donor requirements.
  • Support the preparation of timely monthly, quarterly and project financial reports.
  • Work with programme teams to ensure that financial planning and expenditure are aligned with approved activities and budgets.
  • Support financial documentation and reporting required for grants, audits and donor compliance.
  • Support the implementation and strengthening of internal financial controls.
  • Ensure appropriate supporting documentation for financial transactions and procurement processes.
  • Assist with internal and external audits and follow-up on agreed recommendations.
  • Identify potential financial and operational risks and support practical measures to address them.
  • Contribute to strengthening staff and partner understanding of budgeting, financial procedures and compliance requirements.
  • Support procurement processes, ensuring compliance with YETT procedures, value for money and appropriate documentation.
  • Assist with asset, inventory and records management.
  • Support logistical and administrative arrangements for workshops, meetings, conferences and other programme activities.
  • Coordinate routine administrative processes, including payments, timesheets, leave records and related documentation.
  • Support effective coordination between Finance & Administration, Programmes and other organisational functions.
  • Support the effective use of accounting software, Excel and digital document-management systems.
  • Identify opportunities to improve financial and administrative processes through appropriate digital tools and simple automation.
  • Explore responsible uses of AI-supported tools for appropriate tasks such as data organisation, document preparation, routine administrative support, reporting and analysis, while maintaining accuracy, confidentiality and appropriate human oversight.
  • Contribute to improving the organisation, accessibility and security of financial and administrative records.
  • Support the preparation of donor budgets, financial information for proposals and grant financial reports.
  • Work with programme teams to strengthen the link between financial planning, programme implementation and results.
  • Identify gaps and opportunities for improving YETT’s finance and administration systems based on day-to-day operational experience.
  • Document and share improved practices, tools, processes and lessons that can strengthen YETT’s organisational capacity beyond the exchange.
  • Perform any other related duties as may be assigned.

REQUIREMENTS

  • A Bachelor’s degree in Accounting, Finance, Business Administration or a related field.
  • At least two years’ relevant experience in finance, accounting or administration, preferably within a civil society, non-profit or development organisation.
  • Good understanding of budgeting, financial reporting, financial controls and compliance.
  • Proficiency in Microsoft Excel and familiarity with accounting software such as Pastel.
  • Strong organisational and analytical skills with attention to detail.
  • Experience supporting audits, procurement or grant financial management is an advantage.
  • Good digital literacy and willingness to learn new systems and tools.
  • Interest in the practical and responsible use of AI-supported tools to improve organisational efficiency.
  • Strong communication, teamwork and problem-solving skills.
  • Ability to work independently, manage multiple priorities and meet deadlines.
  • High standards of accuracy, integrity and confidentiality.
  • Commitment to youth participation and working with young people and civil society organisations.

THE EXCHANGE

This opportunity is part of the 2027/28 regional exchange between the Zambia National Education Coalition (ZANEC) in Zambia, Youth Empowerment and Transformation Trust (YETT) in Zimbabwe, and Equal Education (EE) in South Africa, supported by the Norwegian Agency for Exchange Cooperation (Norec).Buy Maps

The exchange will last for a period of 14 months (February 2027–April 2028), with 12 months abroad with YETT in Harare, Zimbabwe, followed by 2 months of follow-up work with the sending organisation, ZANEC in Lusaka, Zambia.

Through international exchange, the overall objective is to empower young people to have the agency and means to meaningfully participate in the pursuit of access to quality and inclusive education for all.

The Following Expenses Will Be Covered by the Exchange

  • Housing costs, including electricity, water, etc.;
  • Travel insurance and health insurance for the whole duration of the exchange;
  • Monthly salary;
  • Travel costs to and from your home country, and to and from the mandatory Norec Preparatory and Homecoming trainings; and
  • Departure/start-up funds that may cover visas, necessary vaccinations, work permits, etc.
