HUMAN RESOURCE ASSISTANT × 2
Goldenlay Agri Limited, Zambia’s leading producer, supplier, and distributor of table eggs, with a well-established and trusted brand among retailers and consumers, invites applications from suitably qualified and experienced candidates for the position of Human Resource Assistant × 2.
OVERALL PURPOSE OF THE POSITION
To support the Human Resource Manager in the effective administration and day-to-day operations of the Human Resources Department, including maintaining accurate employee records and providing HR administrative support.
KEY RESPONSIBILITIES
1. Employee Records and Administration
Ensure all employee records, both historical and current, are complete, accurate, up to date, and properly filed for easy retrieval.
Maintain an effective employee filing and record-management system.
2. HR Management Information System (HRMIS)
Ensure the HR Management Information System is updated accurately and on time.
Capture and maintain records relating to new and terminated employees, annual leave, and other employee information.
3. Attendance and Leave Management
Prepare and distribute attendance registers to Heads of Departments (HODs) and support staff.
Monitor employee attendance and ensure personalised leave registers are updated promptly for all types of leave.
4. Recruitment and Selection
Ensure standard recruitment and selection procedures are consistently followed.
Coordinate job advertisements and assist with shortlisting candidates.
Participate as a member of interview panels.
Maintain accurate recruitment and selection records.
5. Onboarding and Induction
Coordinate employee induction prior to commencement of work.
Ensure employment contracts are issued promptly.
Support the smooth integration and settling-in of new employees.
Maintain accurate onboarding records.
6. Employee Grievances, Discipline and Counselling
Assist with investigations and disciplinary processes arising from breaches of the Code of Conduct or employee grievances.
Maintain accurate grievance and disciplinary records.
Attend and provide administrative support during disciplinary hearings.
7. Performance Management and Staff Motivation
Assist Heads of Departments in preparing quarterly performance appraisal templates.
Maintain accurate and up-to-date employee performance records.
Support initiatives aimed at employee engagement and motivation.
8. Training and Development
Conduct employee induction training as required.
Maintain accurate employee training and development records.
9. HR Reporting
Assist the Human Resource Manager with the preparation of monthly and quarterly HR reports by providing accurate and relevant HR data.
Act on behalf of the Human Resource Manager when required during periods of leave or absence.
10. Other Duties
Perform any other HR-related duties and responsibilities as may be assigned from time to time.

- Strong problem-solving, numerical, and analytical skills.
- Good financial and commercial awareness.
- Proficiency in HR Management Information Systems.
- Good knowledge and understanding of Zambian labour laws and HR best practices.
- Excellent interpersonal and communication skills.
QUALIFICATIONS AND EXPERIENCE
- Degree or Diploma in Human Resource Management from a reputable university or institution.
- Must be a registered/member of the Zambia Institute of Human Resource Management (ZIHRM).
- At least 3 years of relevant work experience.
- Previous experience in the agriculture sector will be an added advantage.
