About the Office Administrator Role

The Office Administrator will report directly to the Accountant and play a key role in ensuring the smooth operation of the office and front desk. This on-site role requires a proactive individual who can manage multiple administrative functions efficiently and with great attention to detail.

Responsibilities or duties

  • Manage switchboard and reception duties, providing excellent front-desk service
  • Schedule appointments, meetings, and conferences
  • Coordinate deliveries, office collections, and courier services
  • Administer petty cash and perform regular reconciliations
  • Coordinate month-end vendor statement reconciliation
  • Administer company operating tools including vehicles, expenses, fuel, and business phones
  • Obtain and manage vendor quotations
  • Assist with accounting tasks and prepare purchase orders
  • Manage office supply procurement
  • Conduct asset verification, tracking, tagging, and assessment of worthiness
  • Support sales invoicing processes

Qualifications or requirements (e.g., education, skills)

  • Strong understanding of payment procedures and financial processes
  • Proficiency in Microsoft Office applications, email, and internet usage
  • Experience with SAP or similar Enterprise Resource Planning (ERP) systems is advantageous
  • Exceptional communication skills with fluency in written and spoken English
  • Highly organized with a keen eye for detail and accuracy
  • Proactive, solution-oriented mindset with strong problem-solving abilities
  • Reliable, punctual, and able to work independently
  • Ability to perform reconciliations and data analytics
  • Strong interpersonal skills and leadership potential
  • Commitment to upholding Yara’s code of ethics and corporate governance

Experience needed

At least two years of relevant experience in a similar administrative role
