Background

Under the overall guidance of Director Youth and direct supervision of the National Coordinator – Youth Programme or his/her designated mandated representative(s), the Project Assistant will:

Responsibilities

  • Support the implementation of the Youth Fellowship Programme, including youth and arts initiatives under MYSA.
  • Provide support in the collection and management of required documentation to ensure operational and administrative compliance with guidelines related to finance, procurement, travel, and other administrative processes, in line with standard operating procedures.
  • Maintain organized internal files and relevant documentation for procurement activities.
  • Monitor and manage inventory records for office supplies and equipment.
  • Support the review and preparation of programme documentation in consultation with relevant stakeholders and team members.
  • Assist in the preparation and review of financial proposals and requirements.
  • Establish and manage effective records and archiving systems to facilitate easy reference and audit processes.
  • Provide administrative support to the programme team.
  • Collaborate with team members on assigned aspects of programme implementation.
  • Support the organization of programme-related meetings, workshops, and events.
  • Assist in drafting concept notes.
  • Coordinate programme-related travel arrangements and logistics.
  • Perform any other duties as assigned.

Qualifications and Experience

Required education level

  • Secondary education

Relevant experience

  • 1 year

Skills and experience

  • Demonstrated experience supporting youth programme implementation or other relevant programmes; experience working in the UN or other international development organization is an asset;
  • Other desired/mandatory required technical knowledge;
  • Excellent oral and written skills; excellent drafting, formulation, reporting skills;
  • Accuracy and professionalism in document production and editing;
  • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels;
  • familiarity with tools and approaches of communications for development;
  • Ability to work and adapt professionally and effectively in a challenging environment;
  • Solid overall computer literacy, including proficiency in various Microsoft Office applications (Excel, Word, among others), email, and internet; familiarity with database management; and office technology equipment;
  • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines;
  • Sound security awareness;
  • Support the coordination of youth activities;
  • Have affinity with or interest in, volunteerism as a mechanism for durable development, and the UN system.
