Role Summary

The Provincial Administrative and Logistics Coordinator will provide leadership and oversight for administration, logistics, fleet, assets, inventory, and operational support functions within the province to ensure efficient service delivery and compliance with company policies and funder requirements.

Required Qualifications & Experience

  • Bachelor’s degree in business administration, Logistics, Supply Chain Management, Operations Management, or a related field.
  • Minimum of 3 years’ experience in administration, logistics, or operations management, preferably within an NGO or donor-funded environment.
  • Demonstrated experience managing fleet, assets, inventory, and administrative systems.
  • Experience working with donor-funded projects and compliance requirements will be an added advantage.
  • Strong knowledge of logistics procedures, Fleet management, procurement processes, and administrative systems.

Key Performance Indicators

Office Administration and Management

Coordinating office administration, logistics, and operational support while ensuring compliance, efficient service delivery, staff capacity building, and effective programme support.

Fleet Management

Managing provincial fleet operations, including vehicle utilization, driver supervision, travel planning, maintenance, fuel management, documentation, and reporting, while ensuring compliance, safety, and efficient transport support for programme activities.

Inventory Management

Managing inventory and stock control processes, ensuring compliance with procedures through accurate receiving, dispatch, stock counts, reconciliations, audits, reporting, and staff guidance on effective inventory management practices.

Asset Management

Managing organizational assets through accurate record keeping, tracking, allocation, maintenance, repairs, disposal, and compliance with asset management policies while ensuring asset protection, accountability, and cost-effective utilization.

Conference/Meeting Logistics Coordination

Coordinating meeting and conference logistics, including budgeting, venue management, vendor coordination, participant arrangements, transport, and documentation while ensuring smooth execution, cost control, compliance, and effective stakeholder engagement.

Monthly Reporting

Preparing and submitting operational reports on fleet performance, asset management, inventory, accommodation, maintenance, insurance, and other logistics indicators to support management decision-making.
