ABOUT THE POSITION
QUALIFICATIONS AND EXPERIENCE
Minimum Required Qualifications and Experience:
- Bachelor’s degree in business administration, Logistics, Supply Chain Management, Operations Management, or a related field.
- Minimum of 3 years’ experience in administration, logistics, or operations management, preferably within an NGO or donor-funded environment.
- Demonstrated experience managing fleet, assets, inventory, and administrative systems.
- Experience working with donor-funded projects and compliance requirements will be an added advantage.
- Strong knowledge of logistics procedures, Fleet management, procurement processes, and administrative systems.

KEY PERFORMANCE AREAS
Office Administration and Management
- Coordinating office administration and logistics, ensuring compliance with organizational policies, SOPs, and donor requirements while providing project support.
- Overseeing operational processes, training staff, and preparing administrative reports.
- Ensuring efficient office management, compliance with organizational policies, effective service delivery, and support to programme teams
Fleet Management
- Managing provincial fleet operations by ensuring safe, efficient, and compliant vehicle utilization in line with organization policies and programme needs.
- Provide driver supervision, and timely reporting of accidents, breakdowns, and other fleet-related incidents
- Overseeing travel planning, vehicle maintenance, fuel management, fleet documentation, tracking systems, reporting, and continuous improvement of transport procedures while providing guidance to teams on effective
Inventory Management
- Managing inventory and stock control processes by ensuring compliance with organization procedures, overseeing stock receiving, dispatch, counts, reconciliations, audits, and reporting.
- Supervise staff on accurate record keeping, and compliance with inventory management procedures.
- Providing guidance and capacity building to staff on effective inventory management while maintaining accurate inventory records.
Asset Management
- Managing organizational assets by maintaining accurate records, tracking asset utilization, coordinating allocation, maintenance, repairs, and disposal in line with policies.
- Ensuring asset protection, reporting losses or damages, supporting users, and continuously improving asset management processes for efficiency and cost-effectiveness.
Conference/Meeting Logistics Coordination
- Coordinating meeting and conference logistics by managing budgets, venues, vendors, participant registration, accommodation, transport, and event requirements.
- Ensuring smooth event execution, effective stakeholder communication, cost control, and proper documentation for reporting and audit purposes
Monthly Reporting
- Prepare and submit operational reports covering fleet performance, asset status, inventory management, accommodation, maintenance activities, insurance matters, and other logistics indicators required by management
