We are looking for a dedicated and organized Secretary to support our operations and client relations.

Job Summary:

The Secretary will serve as the central communication link between clients and cleaning teams. This role requires excellent organizational skills, professional communication, and an ability to manage multiple client accounts efficiently. The ideal candidate is proactive, detail-oriented, and able to work in a fast-paced environment.

Key Responsibilities:

  • Communicate with clients professionally via phone, WhatsApp, email, and social media to confirm bookings, share updates, and respond to inquiries.
  • Coordinate daily schedules and assignments for cleaning teams, ensuring timely deployment and job completion.
  • Maintain up-to-date client accounts, including contact details, service history, balances, and payment status.
  • Follow up with clients post-service to confirm satisfaction and collect feedback.
  • Prepare and send out quotations, invoices, and receipts.
  • Track payments and provide regular updates to management.
  • Work closely with the Managing Director to ensure smooth workflow and team accountability.
  • Maintain proper filing systems (both physical and digital) for all client records and communications.
  • Provide administrative support including document drafting, report preparation, and appointment scheduling.

Requirements:

  • Minimum Diploma in Business Administration, Office Management, or a related field.
  • Proven experience as a secretary, administrative assistant, or customer service representative.
  • Strong written and verbal communication skills in English.
  • High proficiency in Microsoft Office, Google Workspace, and WhatsApp Business.
  • Excellent organizational and multitasking abilities.
  • Ability to work independently and handle sensitive information with confidentiality.
  • Knowledge of basic accounting or bookkeeping is an added advantage.
