As part of our effort to build talent in the pharmaceutical and logistics sector, we are seeking to recruit a Procurement and Operations Intern to support our procurement and logistics activities while gaining valuable industry experience.
Position Overview
The Procurement and Operations Intern will support the procurement and operations team in ensuring timely, cost-effective, and compliant procurement processes as well as smooth logistical coordination. This internship provides an excellent opportunity for recent graduates or final-year students in Procurement and Supply Chain fields to gain hands-on experience and practical skills in a fast-paced, mission-driven organization.
Key Responsibilities
Under the guidance of the Procurement & Operations Officer, the Intern will:
- Assist with procurement documentation, including requests for quotations, purchase orders, and bid evaluations.
- Help maintain and update the supplier database and pre-qualified vendor lists.
- Support in raising and processing purchase orders in line with internal procedures.
- Follow up with suppliers and vendors on delivery timelines and order status.
- Assist in managing fleet and logistics activities, including fuel tracking and vehicle maintenance logs.
- Ensure proper filing of procurement and logistics documents (both electronic and physical).
- Contribute to the maintenance of the asset register and inventory systems.
Participate in day-to-day administrative support related to procurement and operations.
- Perform any other duties as assigned by the Procurement & Operations Officer or Management.
Minimum Qualifications and Experience
- Diploma or Degree in Procurement & Supply, Logistics, Business Administration, or a related field.
- Must be a registered student or graduate member of the Zambia Institute of Purchasing and Supply (ZIPS).
- Must have graduated not earlier than 2021.
- Basic understanding of procurement processes and the public health/pharmaceutical supply chain will be an added advantage.
- Proficiency in Microsoft Office (especially Excel and Word).
- Strong communication, organization, and time management skills.
- High attention to detail and commitment to integrity and confidentiality.
- Ability to work independently and in a team-oriented environment.

Key Responsibilities Finance: Maintain accurate and up-to-date accounting records and ledgers. Prepare monthly, quarterly, and annual financial reports for internal and external stakeholders. Prepare and monitor company budgets, forecasts, and cash flow statements. Manage payroll, statutory compliance (ZRA, NAPSA, NHIMA), and related remittances. Process supplier payments, staff reimbursements, and handle bank reconciliations. Ensure proper documentation and authorization of all financial transactions. Coordinate annual audits and liaise with external auditors and financial institutions. Manage inventory accounting and reconciliation of stock values with warehouse data. Administration: Oversee administrative functions, including procurement, fleet, and facility management. Maintain an updated fixed asset register and ensure proper insurance coverage. Support procurement processes, ensuring compliance with internal controls. Ensure timely renewal and management of licenses, leases, and service contracts. Supervise administrative staff and ensure the office is functioning efficiently. Organize logistics for company meetings, workshops, and external engagements. Maintain secure and organised filing systems for both financial and administrative records.
High attention to detail, accuracy, and confidentiality. Strong analytical and problem-solving abilities. Excellent interpersonal and communication skills. Proficient in Microsoft Office Suite (Excel, Word, Outlook). Ability to prioritize and manage multiple tasks under pressure. Strong organizational and team leadership capabilities. Full Grade 12 Certificate. Bachelor’s Degree in Accounting, Finance, Business Administration or related field. ZICA Licentiate, ACCA Level II/III, or CIMA equivalent. Minimum of 3 years’ experience in a finance and administration role, preferably in a pharmaceutical or FMCG environment. Proficiency in accounting software (e.g., QuickBooks, Pastel, or similar). Solid understanding of financial regulations, ZRA compliance, and payroll systems. Membership with ZICA or another recognized professional accounting body is an added advantage.
