Job Purpose

Scope: To assist the Station Manager in the daily operation and management of the fuel station, ensuring adherence to operational standards, safety procedures, and excellent customer service. The Administrative Assistant supports smooth site operations, supervises staff, maintains stock control, and ensures accurate financial and reporting processes are followed.

Description

  • Support the Station Manager in implementing operational standards across the station.
  • Supervise and coordinate the work of attendants and cleaners to ensure quality service delivery.
  • Monitor and maintain cleanliness and order in all customer-facing areas.
  • Maintain the station’s asset and stock registers; ensure accountability for all forecourt items.
  • Assist in daily cash management — reconciliation, deposits, and record-keeping in line with audit trail requirements.
  • Enforce station policies including dress code, attendance, and customer handling standards.
  • Handle customer queries, complaints, and requests promptly and professionally.
  • Conduct daily checklist inspections and report issues to the Station Manager for timely resolution.
  • Ensure that safety standards, equipment handling, and pump operations comply with company guidelines.
  • Assist in monitoring wet and dry stock levels, ensuring minimal losses and accurate reporting.
  • Support implementation of promotional activities and cross-selling initiatives at the forecourt.
  • Prepare daily operational reports and submit to the Station Manager.
  • Stand in for the Station Manager during absences, ensuring smooth site operations.

Job Qualifications and Experience

  • Minimum Qualifications: Diploma or Graduate in Business, Operations, or related field.
  • Professional Experience: Minimum 1 year of experience in operations, retail, or fuel industry. Supervisory experience preferred. Basic computer skills and knowledge of stock management systems. Exposure to ERP systems is an added advantage.
