Background
We are URGENTLY looking for a reliable and detail-oriented Administrative Officer to provide essential support to management and the Human Resource Officer. The ideal candidate will handle general office administration, assist with HR functions, and ensure smooth daily operations within the organisation and will be based at our Head Office in Lusaka.
Key Responsibilities
- Maintain staff records, files, and other company information
- Coordinate office activities to ensure efficient operations
- Draft letters, memos, and other administrative correspondence
- Assist the HR and Management to timely and accurately report workplace accidents to the Worker's Compensation Fund Control Board.
- Assist HR with recruitment logistics, onboarding, and employee leave management
- Coordinate the timely submission of required documentation (e.g., Annual Returns, changes in directors/shareholders) to PACRA.
- Monitor and ensure timely renewal and compliance of all company trading licenses and operational permits issued by the Lusaka City Council, adhering to local by-laws and regulations.
- Oversee and manage the company vehicle fleet, ensuring all vehicles maintain current Road Tax, Certificate of Fitness (CoF), and motor vehicle licensing as required by the Road Transport and Safety Agency (RTSA).
- Ensure compliance with regulatory bodies company policies and procedures
- Perform other duties as assigned by the HR Officer or Management
- Candidates residing within a radius of 3Km to our office will be priorities
Qualifications and Skills
- Minimum certificate in Human Resource, or a related field;
- Experience in office administration and basic HR or payroll support
- Minimum 2 years of relevant work experience with at least two traceable references.
- Familiarity with statutory obligations such as NAPSA will be an added advantage
- Excellent communication and organisational skills
- Strong attention to detail and ability to multitask
- Proficiency in Microsoft Office (especially Excel and Word)
- High level of professionalism, discretion, and confidentiality
