Lumumba Mining Company seeks to recruit highly efficient, committed, and proactive Zambians for the position of Administrative Supervisor to join the Administrative Support Team. The Administrative Supervisor is responsible for overseeing the day-to-day operations of the crew administrative functions and ensuring an efficient and effective workflow. The role ensures accuracy, compliance, timely processing, and high-quality administrative support across daily operations in the crew. The Supervisor provides guidance, coaching, performance monitoring, and process-improvement leadership. We are in search of an individuals who can champion Barrick's DNA by:

Reporting to the Mining Coordinators and working closely with the Human Resources department to support organizational goals.

Responsibilities or duties

Your duties will include but not limited to the following:

  • Lead and supervise Administrative Clerks, ensuring effective workflow.
  • Supervise, support, and coordinate the work of Administrative Clerks responsible for X-time exception processing.
  • Monitor daily workloads, assign tasks, and ensure timely and accurate completion of activities.
  • Oversee the end-to-end process of reviewing, verifying, and clearing X-time exceptions.
  • Prepare regular reports on exception metrics, team productivity, and process performance.
  • Communicate deadlines, changes, or issues across departments as needed.
  • Liaise with management to provide insight into staffing, performance, and process needs.
  • Ensure clerks follow established protocols, documentation requirements, and accuracy standards.
  • Act as the escalation point for complex or unresolved exceptions.
  • Collaborate with HR, Payroll, and Operations teams to resolve discrepancies in timekeeping data.
  • Ensure that clerks have cleared exceptions in X-time.
  • Manage the crew time and attendance by providing accurate manning numbers to mining operations leadership at the start and end of the shift
  • Manage employ absences through accurate administering of all leave (Annual, sick, study etc)
  • Actively promote, monitor, and enforce compliance of laid down attendance and manning procedures.
  • Maintain systems that ensure crew supplies are adequate through accurate management of reservations in SAP.
  • Assist crew coordinators in manning of equipment is done on time
  • Create and implement processes to improve the efficiency and effectiveness of administrative functions.
  • Act as a liaison between administrative staff and management.
  • Develop and maintain departmental documentation, including standard operating procedures and work instructions.
  • Provide training and support to Admin Clerks to ensure they have the necessary skills to perform their job functions effectively.
  • Assist in developing, implementing, and maintaining safe work procedures, and promote high safety and health awareness. Promote and comply with the LMC Occupational Health & Safety Policy.
  • Support the development and maintenance of up-to-date job procedures for all tasks performed within the function.
  • Ensure clerks are adequately inducted in their work area and are aware of all workplace rules and critical procedures applying at LMC.
  • Actively promote, monitor, and enforce compliance of personnel with safe work practices.
  • Ensure appropriate facilities, procedures, and workforce competence to achieve legal compliance, prevent incidents, and complete tasks in an environmentally sustainable manner.
  • Assist Human Resources in a support role with regards to the X-time training schedule and program.
  • Work with the Senior Trainer and Technical Advisor to achieve training targets in conjunction with the daily, weekly, and monthly mining plans that correspond with the annual production target.
  • Support the development and management of systems to enable the achievement of LMC targets.
  • Support the implementation of Human Resource systems, including X-time and Element.
  • Support the review and improvement of systems based on the monitoring, reporting, and improvement ideas of direct reports and teams.
  • Accountable for the completion of all tasks identified in the Management Operating System (MOS) to the specified quality and timelines as assigned to this role.
  • Identify specific areas for cost improvement and ensure the development and implementation of action plans to achieve these gains.
  • Deliver reports to the Mining Coordinators and Human Resources Department on agreed performance indicators, in accordance with agreed standards and schedule.

Qualifications or requirements (e.g., education, skills)

To be considered for the position, you must meet the following requirements:

  • Grade 12 Certificate.
  • Bachelor’s degree in business administration, Social Sciences, or a related field.
  • Proven leadership and team development capabilities.
  • Must possess strong organizational, multitasking, and problem-solving skills.
  • Excellent verbal and written communication skills in English.
  • Ability to handle confidential information with discretion.
  • Competence in Microsoft Office (Word, Excel, PowerPoint).
  • Understanding of relevant labour, health, safety, and environmental legislation in Zambia.
  • Demonstrated ability to implement process improvements and manage operational costs.

Experience needed

Minimum 4 - 5 years’ experience in a supervisory role, preferably in a mining or operational environment.

Experience with HR and ERP systems, particularly time and attendance (e.g., X-Time, SAP), and other administrative or operational systems.
