Key Responsibilities
1. Financial Record Keeping
Maintain and update accounting records in the accounting system (e.g., cashbooks, ledgers, journals).
Record daily transactions including receipts, payments, invoices, and expenses.
Assist in bank reconciliations and petty cash reconciliations.
2. Accounts Payable & Receivable
Process supplier invoices and ensure timely payments.
Prepare payment vouchers and follow approval procedures.
Assist in billing customers and follow up on outstanding receivables.
Maintain accurate supplier and customer accounts.
3. Payroll Support
Assist with payroll computations by collecting and verifying employee time sheets.
Update payroll-related records such as advances, loans, and overtime.
4. Financial Reporting
Support the preparation of monthly, quarterly, and annual financial reports.
Assist in preparing management accounts and variance analysis.
Compile necessary supporting documents for audits.
5. Compliance & Controls
Ensure all financial transactions comply with internal controls.
Support filing and organizing financial documents for compliance and audit readiness.
Assist with statutory returns (e.g., NAPSA, ZRA PAYE, NHIMA) where required.
6. Budgeting & Forecasting Support
Provide financial data to support budget preparation.
Assist in monitoring budget utilization and reporting variances.
7. Administrative Support
Respond to internal and external financial queries.
Support the Finance Manager or Accountant with any additional duties as assigned.
Skills and Competencies
- Strong understanding of basic accounting principles.
- Proficiency in accounting software (e.g., Sage, QuickBooks, Pastel) and MS Excel.
- High level of accuracy and attention to detail.
- Good organizational and time-management skills.
- Strong numerical and analytical ability.
- Effective communication skills and ability to work as part of a team.
- High level of integrity and confidentiality.
Qualifications
- Diploma or Degree in Accounting, Finance, or related field.
- At least 1–3 years of experience in a similar role.
- ZICA certification is a must
- Must be below 30 years
