Purpose of the Job

To receive and direct visitors, route incoming and outgoing calls and create a database for stakeholders coming through the reception.

3. Statements of Main Accountabilities 

3.1 Performs good customer service duties and portray a positive corporate image as a first point of contact.
3.2 Handles visitors and stakeholders of the institution and identify their purpose and refer them to the relevant member/s of staff and produce a weekly customer traffic analysis for management attention.
3.3 Acts as an inquiry point for visitors that seek direction to specific department and services by advising them accordingly.
3.4 Acts as a telephone operator for institute and thereby screens, filters and places telephone calls to require officials within the Authority.
3.5 Handles queries from visitors and brings them to the attention of management for action.
3.6 Creates a data base of key stakeholders coming through the reception for management action.
3.6 Receives hand-delivery parcels from outside the Authority for subsequent delivery to  officials concerned.
3.7 Maintains an attractive reception area.
3.8 Uses the reception desk to help members of staff wishing to circulate business or personal messages to required places.
3.9 Maintains security by assessing the mood of visitors before allowing the through. Issues visitors badges as per procedure.
3.10 Assists corporate communication officers with media updates and other assignments.
3.13 Performs any other duties assigned by Corporate Communications Manager.

Requirements

4. Knowledge and Skill Requirements

a) General Education:   

Grade 12

b) Professional/Academic Qualifications
Certificate in Communication or Marketing and Sales or any other relevant qualification.

c) Relevant Pre-Job Experience: 
The job requires above 1 year experience.
