Job Purpose

Coordinating, consolidating, and ensuring smooth implementation of and adherence to facilities and provide logistical support so as to ensure that effective and efficient administration supports the strategic aims and the day-to-day operations of the company.

Job Requirements

Core Qualifications:

  • Grade 12 Certificate with a minimum of University-Entry Qualification Grades in Five (5) “O” levels, which must include Credits or Better in English and Mathematics
  • Bachelor’s Degree in Public Administration, Business Administration, Human Resource or a related field.
  • Minimum of two (2) years relevant experience in Human Resource, Administration, facilities, or logistics management.
  • Must be a registered and paid-up member of the Zambia Institute of Human Resource Management (ZIHRM).
  • Preferred Age Limit: Not older than 45 Years Next Birthday

Other Desirable Competencies / Skills / Attributes:

  • Proven integrity, professionalism, accountability and innovation
  • Excellent written and verbal communication skills
  • Excellent ability to analytical and problem-solving skills.
  • Demonstrated knowledge of office administration, facility maintenance, and asset management.
  • Strong interpersonal, planning, and organizational skills with the ability to work under minimum supervision.
  • Skill in examining and re-engineering operations and procedures
  • Demonstrable ability to foster a cooperative work environment
  • Employee development and performance management skills.
  • Highly developed ability to persuade and influence others.
  • SADC Driver’s License will be an added advantage

Responsibilities

KEY RESULT AREAS AND MAIN ACCOUNTABILITIES

  • Oversee effective administration and record management systems to ensure operational efficiency.
  • Develop and implement facility management programs that promote preventive maintenance and compliance with statutory and safety standards.
  • Prepare, monitor, and manage budgets for records management, facility maintenance, and administrative operations.
  • Develop and maintain administrative systems and procedures that improve efficiency and accountability.
  • Ensure offices and surroundings are clean, safe, and hygienic through effective supervision and coordination.
  • Monitor and ensure compliance with contractual obligations related to office and facility services.
  • Supervise general office administration, logistics, and support functions for smooth departmental operations.
  • Maintain accurate records of administrative and transport assets, ensuring their efficient utilization and maintenance.
  • Support management in implementing the performance management cycle and conduct appraisals for supervised staff.
  • Prepare and submit timely weekly, monthly and quarterly reports on administrative operations.
