About The Job

• The Human Resource and Administration Manager will perform various tasks related to HR and administration, including recruiting, hiring, training, and managing employees. The Manager will be responsible for developing and implementing HR policies, ensuring compliance with labour laws and regulations, and maintaining employee records. This is a full-time on-site role located in Lusaka, Zambia.

Key Roles & Responsibilities
• Develop and implement HR policies and procedures in compliance with local labour laws and industry best practices
• Oversee recruitment and onboarding processes, ensuring a seamless and positive experience for new hires
• Manage employee relations, including conflict resolution, performance management and professional development
• Coordinate the performance management system consistently and effectively to foster a performance-based culture across Media 365
• Support employees and Line Managers on all performance management issues, setting goals/objectives, monitoring performance, and giving and receiving timely and effective feedback, managing poor performance etc.
• Support line managers to identify training needs for staff, develop annual staff training and development plan in accordance with Media 365 learning and development goals
• Together with the Finance Manager, ensure accurate payroll processing by ensuring the correctness of necessary documentation such as timesheets and leave forms
• Lead the development and implementation of training and development initiatives
• Handle compliance and reporting requirements related to HR and administration
• Lead in branding Media 365 as an employer of choice through generating HR reports, matrices, data and analyses on a regular basic and suggest improvements
• Develop and implement administrative policies and procedures
• Manage day to day administrative operations, including facilities management, vendor relationships and office supplies procurement
• Implement and maintain efficient filing systems for personnel and administrative records
• Coordinate and oversee special projects, events and initiatives, ensuring successful execution and alignment with organisational goals
• Monitor and manage office budgets, tracking expenditures and recommending cost-saving measures
• Evaluate and recommend improvements to administrative processes, streamlining operations for increased efficiency.
• Ensure an enjoyable, safe, healthy and compliant work environment.
• Any other duties as assigned.

Required Qualifications
• Degree in Human Resources or any Business-related field with a qualification in Human Resource
• Member of Zambia Institute of Human Resource Management
• At least 7 years previous experience in a Human Resource and Administrative role
• Comprehensive knowledge of Employment Code 2019 and other relevant labour laws
• Knowledge of other personnel statutory requirements in Zambia (e.g. NAPSA, Workers Compensation, NHIMA)
• Knowledge of business requirements in Zambia (permits and licences etc.)
• High proficiency in Microsoft Office (particularly Word and Excel) and HR software
• Good verbal and written communication
• Willingness to work beyond normal business hours and travel as required.
• Friendly with a customer centric approach
• Evidence of continued professional development
• Affinity with Media 365 core values of purpose, excellence, innovation, courage and human-centric.

Desirable
• At least two years of managerial experience
• Proficiency in Google packages (G-Suite)
• Possession of a valid driver’s licence
