Job Summary:

We are seeking a dedicated Office Administrator / Accounts Assistant to provide both administrative and financial support. The ideal candidate should have over two years of experience in office administration and basic financial management, with a proven ability in record-keeping, invoicing, reconciliations, and general office coordination. This role is ideal for a self-motivated professional with strong organisational skills and a proactive attitude.

Key Responsibilities:

  • Manage day-to-day office operations including procurement, filing, correspondence, and logistics.
  • Maintain accurate and up-to-date financial records, including petty cash and bank reconciliations.
  • Prepare and process invoices, receipts, and payments.
  • Assist in budgeting, expenditure tracking, and financial reporting.
  • Support monthly payroll preparation and statutory returns (NAPSA, ZRA, NHIMA).
  • Coordinate meetings, travel arrangements, and procurement processes.
  • Provide administrative support to project staff and senior management.
  • Assist with audits by ensuring proper documentation is available and organised.
  • Ensure office supplies and equipment are well managed and maintained.
  • Uphold internal compliance standards and assist in developing administrative procedures.

Essential Qualifications:

  • Diploma or degree in Accounting, Finance, Business Administration, or a related field.
  • Recognised accounting certifications (e.g., ACCA, CIMA, ZICA) are an added advantage.
  • Proficiency in bookkeeping and financial record-keeping.
  • Working knowledge of accounting software (QuickBooks, Xero, or Sage).
  • Strong organisational skills and ability to manage multiple priorities.
  • Excellent written and verbal communication skills.

Desirable Skills and Experience:

  • At least two years of experience in an administrative or accounting role.
  • Strong analytical skills and the ability to interpret financial data.
  • High level of accuracy and attention to detail.
  • Proficiency in Microsoft Office, especially Excel, Word, and Outlook.
  • Ability to manage time effectively and meet deadlines.

Soft Skills:

  • Strong problem-solving and critical-thinking skills.
  • Collaborative and able to work effectively in a team environment.
  • Adaptability in a dynamic, fast-paced work environment.
  • High level of integrity and ability to handle confidential information with discretion.
