The farm is currently involved in egg production, piggery and vegetable. We’re seeking for a highly skilled Office Administrator to join our team. As the first point of contact for visitors and callers, you’ll play a vital role in creating a positive impression and ensuring the smooth operation of our office.
Key Responsibilities:
Administrative Support
1. Provide administrative assistance to senior staff, including scheduling appointments, managing correspondence, and preparing documents.
2. Manage and maintain electronic and paper filing systems, ensuring accurate and efficient record-keeping.
Office Management
1. Oversee office supplies, equipment, and facilities, ensuring a well-organized and efficient working environment.
2. Coordinate maintenance and repairs of office equipment and facilities.
Communication
1. Handle phone calls, emails, and visitor reception, providing excellent customer service and ensuring seamless communication.
2. Respond to queries and requests from staff, clients, and stakeholders.
Scheduling and Coordination
1. Coordinate meetings, events, and travel arrangements for staff, ensuring timely and efficient arrangements.
2. Manage calendars, scheduling appointments and meetings.
Data Management
1. Maintain accurate and up-to-date records, including databases and spreadsheets.
2. Ensure data confidentiality and security.
Requirements:
Essential Qualifications
1. High school diploma or equivalent required; certificate of better in business administration or related field preferred.
2. Proven office administration experience, preferably in a similar industry.
3. Ndola Bases candidates will have advantage
Key Skills
1. Excellent communication, interpersonal, and customer service skills.
2. Strong organizational, time management, and problem-solving skills.
3. Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other software applications.
4. Ability to maintain confidentiality and handle sensitive information.
Desirable Skills
1. Experience with office management software and tools.
2. Knowledge of office procedures and best practices.
