JOB DETAILS:
Reporting Lines
The incumbent will work under the overall supervision of the Assistant FAO Representative (Programmes), the direct supervision of the Programmes Associate, and in collaboration of the Project Coordinators, and Finance and Administration.

Technical Focus
The incumbent will provide operational and administrative support to the projects implementation in the following areas:
• Project identification, planning, formulation, implementation and monitoring
• Operationalisation and effective monitoring of the country programming framework
• Support services to project implementation and administration including coordination

Tasks and responsibilities
• Support to Project proposals and operationalisation
– Provide continued operational and administrative support to the proposal development
– Prepare FAOR Letters to Ministries for the PRODOC signing
– Make appointments with the Ministries and other stakeholders
– Provide continued operational and administrative support to the implementation of projects

• Country Programming Framework Measurement and Tracking Tools/Framework
– Support in the design and development of tools
– Assist in collecting and storing information for monitoring purposes
– Assist to avail reference materials and experiences from others for learning

• Support Services
– Help organize meetings, plan agendas and prepare reports
– Collaborate closely with project team members in support of project implementation and reporting
– Support the organisation of the organization of awareness raising and training, activities
– Facilitate the preparation and processing of LOAs
– Facilitate and assist the project team to support providers of agro-advisory, financial, and insurance products and services to targeted beneficiaries
– Assist in the elaboration of communication and outreach materials and products
– Collect, collate, update content on appropriate platforms and dissemination of relevant information to stakeholders
– Schedule appointments with the Ministries and relevant stakeholders within and outside Lusaka
– Liaise with the travel processor, support travel arrangements for the missions – within and outside Lusaka

• Support to monitoring activities
– Support monitoring of projects
– Assist in reviewing budget submissions and preparing payment requests from implementing partners
– Support the project team in tracking LoA implementation

• Other Tasks
– Organizing official launch of the TCPs
– Submit procurement requests and track status of submitted PRs
– Produce and distribute correspondence
– Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
– Book conference calls, virtual meetings, rooms, taxis, couriers, hotels, etc.
– Photocopy and print out documents on behalf projects
– Perform other duties as required for the smooth operations of the Programmes Office, and smooth interface with Finance and Administration office
– Perform other duties as required

Candidates Will Be Assessed Against The Following:
Minimum Requirements
• A degree in Development Studies, Business Administration, Agricultural Economics or related studies
• The suitable candidate should have a minimum of three (3) years of relevant experience in work related to operations, administration and implementation of multiple projects;
• Working knowledge of the English language [i.e. spoken and written]
• Should be a Zambian National

Technical/Functional Skills
• Extent and relevance of experience in programme/project formulation, analysis, planning and implementation

• Past working experience with FAO or other UN Agencies on related issues is an advantage
