About the Role
This role will ensure compliance with WaterAid procurement and administration policies and procedures for goods and service for effective and efficient functioning of WaterAid. The Procurement and Administration Officer will be responsible for planning, coordinating, and overseeing all procurement activities across WaterAid Zambia Country Programme. The officer will ensure procurement processes are transparent, cost-effective, and in compliance with WaterAid procurement policies, donor requirements, and Zambian procurement regulations. The role supports efficient sourcing of goods and services to facilitate WASH interventions in WaterAid Zambia Operational areas.

- Sourcing and Vendor Management
- Compliance and Risk Management
- Reporting and Record Management
- Capacity Building and Continuous Improvement
- Administration and coordination of office activities and operations
- Provide logistical support.
Requirements
About you:
- Bachelor’s degree in Business Administration, Procurement, Operations Management, or a related field. Member of Zambia Institute of Purchasing and Supply.
- Excellent knowledge of MS Office and office management systems.
- Familiarity with office management procedures
- Proven experience as an office administrator, procurement officer, or other relevant roles.
- Fluent in written and spoken English.
- At least 5 years of progressive work experience in procurement/purchasing management, logistics, and administration.
- Ability to manage end to end process of tender /procurement process when necessary.
- Outstanding communication and interpersonal abilities.
- Excellent organisational skills, trustworthiness, attention to detail & high sense of
confidentiality.
- Self-directed individual with sound technical skills and analytical ability.
- Proven problem-solving skills with high ethical standards.
- Ability to work under pressure to pursue multiple tasks simultaneously to successful conclusions.
- Experience in a supervisory role is preferred with the ability to lead, motivate and develop staff.
- Demonstrate a high level of integrity
- Able to demonstrate commitment to WaterAid’s Values and a working style and approach that reflects these
