Job Summary
We are seeking a detail-driven and results-oriented Procurement Specialist to lead the preparation, submission, and execution of bids for high-value supply contracts. This includes managing compliant tender responses, liaising with internal and external stakeholders, and overseeing the full supply and delivery process to ensure timely fulfillment and client satisfaction.
Key Responsibilities
- Analyze Requests for Proposals (RFPs), Invitations to Bid (ITBs), and Request for Quotations (RFQs).
- Coordinate and prepare compliant bid submissions, including technical and financial proposals.
- Liaise with internal teams to gather required certifications, financial documents, and product specifications.
- Draft and organize bid documents, including signed declarations, company profiles, and evidence of past performance.
- Manage proposal calendars and submission deadlines with strict attention to detail.
- Communicate with tender issuers to seek clarifications and ensure full compliance with instructions.
- Oversee the entire supply chain process once a bid is awarded—including procurement, packaging, logistics coordination, and delivery verification.
- Maintain clear communication with clients throughout the delivery process and handle any arising issues.
- Ensure timely dispatch, accurate documentation (delivery notes, invoices, GRNs), and proof of delivery.
- Monitor procurement portals and tender boards for new opportunities.
- Archive all submitted tenders and post-delivery reports for audit and improvement.
Minimum Qualifications
- Bachelor’s degree in Procurement, Business Administration, Supply Chain Management, or related field.
- At least 3 years of experience in procurement, tender management, and supply logistics.
- Proven experience with public sector, NGO, or donor-funded procurement (e.g. UN agencies).
- Familiarity with ZPPA and donor procurement compliance requirements.
- Strong command of delivery tracking, documentation, and client liaison procedures.
- High proficiency in Microsoft Word, Excel, and PDF documentation tools
- Excellent organizational, communication, and multitasking skills.
- Certification with CIPS, ZIPS, or a relevant professional body is an added advantage.
