To undertake the provision of secretarial services in order to enhance the operations of the department.
Key Responsibilities
1. Document Management
- Carries out timely and accurate typing of correspondence/documents (80 WPM)
- Takes dictation (45 WPM shorthand) and transcribes into final documents
- Maintains confidential filing system for sensitive correspondence
2. Executive Support
- Prepares and manages executive diary/schedule
- Screens and prioritizes incoming correspondence
- Makes and receives telephone calls professionally
3. Office Administration
- Coordinates departmental meetings (minutes, logistics)
- Manages office supplies and equipment
- Serves as first point of contact for visitors
Qualifications & Experience
Mandatory Requirements
- Grade Twelve (12) School Certificate or equivalent
- Advanced Certificate in Typing and Shorthand (80/45 WPM)
- Must be Zambian citizen
Preferred
- 2+ years experience in executive office environment
- Proficiency in MS Office (Word, Excel, Outlook)
Required Skills & Attributes
Technical Skills
- Advanced computer literacy
- Excellent document formatting abilities
- Minute-taking proficiency
Professional Attributes
- High integrity and confidentiality
- Tact and diplomacy in all interactions
- Strong organizational skills
- Professional communication (written/verbal)

- Standard office hours (may require overtime)
