Project Background
The Women Economic Empowerment (WEE) project with Choma District Women’s Development Associations is running from February 2021 to 31st July 2026. The overall objective of the project is to advance women’s economic empowerment to ensure the capacity of women to participate in, contribute to and benefit from agricultural value chains and processes in ways that affirm the value of their contributions, respect their dignity, promote equality in Eastern, Western, Southern and Central Provinces.
Key Duties and Responsibilities
Financial Management & Reporting
- Prepare accurate monthly, quarterly, and annual financial reports
- Monitor expenditure against approved budgets and forecasts
- Conduct budget variance analysis and advise management accordingly
- Prepare financial reports for submission to the Coordinator, Board, and donors
Budgeting & Cash Flow Management
- Develop and update cash-flow projections
- Ensure sustainable budget management in line with cash-flow availability
- Monitor project funding utilization to avoid overspending or underutilization
Payments & Financial Controls
- Process payments through petty cash, bank transfers, and approved payment requests
- Ensure all payments are supported by proper documentation and approvals
- Maintain strong internal financial controls and approval systems
Payroll & Statutory Compliance
- Run the payroll system accurately and on time
- Prepare and submit PAYE, NHIMA, and NAPSA returns in compliance with statutory deadlines
- Maintain up-to-date payroll records and staff deductions
Accounting Systems & Software
- Record all financial transactions using Sage Pastel Partner
- Maintain accurate accounting records and reconciliations
- Support audits by preparing schedules and responding to audit queries
Donor Compliance & Audits
- Ensure donor financial compliance in recording, reporting, and documentation
- Prepare financial documentation for internal and external audits
- Conduct internal audits and implement audit recommendations
Records Management & Administration
- Ensure proper filing and archiving of all financial documents
- Support administrative processes related to finance and compliance
- Uphold high levels of integrity, confidentiality, and professionalism
Qualifications & Requirements
- Diploma or Degree in Accounting
- Minimum of 2 years relevant work experience
- Fully paid-up member of ZICA and/or ACCA for the 2026 period
- Minimum Licentiate Certificate
- Proven experience with donor-funded programmes is an added advantage
- Strong budgeting, financial analysis, and MS Excel skills
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Hands-on experience using Sage Pastel Partner and payroll software
- High level of integrity and professionalism
