Background

Monze Community Development Staff Training College, is a government institution under the Ministry of Community Development and Social Services based in Monze district. The College seeks to engage a Part-time Assistant Stores Officer for a one (1) year contract renewable based on good performance. Therefore, invites applications from suitably qualified and experienced candidates to apply for this position.

Purpose

To maintain seamless supply chain operations by ensuring the accurate receipt, secure storage, and timely distribution of college assets. This role is critical in preventing stock-outs and ensuring that academic and administrative departments have the resources needed to function without interruption.

Main Duties Summary

  • Stock Monitoring & Replenishment: Conducting regular stock takes to identify low inventory levels and initiating timely purchase requisitions to prevent operational delays.
  • Quality Control & Receiving: Inspecting incoming goods against delivery notes and purchase orders to ensure quality and quantity compliance before processing Goods Received Notes (GRN).
  • Asset Preservation & Storage: Organizing the storeroom to ensure the safe custody, proper labelling, and preservation of materials to prevent damage or deterioration.
  • Efficient Issuance & Distribution: Verifying internal requisitions and ensuring that materials and equipment are issued only to authorized personnel in a timely manner.
  • Data Integrity & Record Keeping: Updating bin cards and inventory management systems daily to ensure a perfect match between physical stock and ledger records.
  • Security & Compliance: Enforcing strict access control to storage areas and ensuring all transactions align with the Public Procurement Act and internal audit standards.
  • Reporting: Preparing weekly or monthly stock utilization reports to help management monitor consumption patterns and identify slow-moving items.

Qualifications

  • Grade 12 Certificate with at least five (5) Credits, including Mathematics and English Language.
  • Must possess a Diploma in Stores Management, Purchasing and Supply, or a related field.
  • Functional computer skills (proficiency in Excel and inventory software).
  • Minimum of 3 years relevant experience in a similar institutional setting.
  • Fully paid-up member of the Zambia Institute of Purchasing and Supply (ZIPS) with a valid practicing license.

All shortlisted candidates will be required to submit Verification Reports from ZAQA for all local and foreign qualifications and present original certificates during the interview process.
