JOB DETAILS:
Purpose of the role:
The incumbent will be required to source suitable and reputable suppliers to ensure high quality goods and services are procured for the HCMZ economically and timely.

Key Duties and Responsibilities:
The Senior Buyer will be required to perform the following tasks:
Stock Orders

Planning
1. Plan Procurement activities.
2. Determine best procurement methods.
3. Source suitable suppliers as and when required.
4. Negotiate favorable payment and delivery terms with suppliers.
5. Negotiate better deals with the company suppliers in order to make savings.
6. Manage and expedite new PO’s daily (load & issue).
7. Open PO’s monitored weekly & followed up on time.
8. Decide on non-performing suppliers and terminate (supplier evaluation).

Expediting
1. Delivery of stock is consistently followed-up with suppliers (condense lead time by ensuring that all stock is correctly packaged etc.) timeously.
2. Source emergency items on time.
3. Submit invoices and delivery notes to finance for payment on time.

Manage parts discrepancies for emergency and stock orders
1. Notify suppliers immediately of shortages, damaged and/or incorrect items and ensure they are received on time.
2. Re-orders processed immediately for shortfall items depending on urgency according to procedure.

Buying
1. Acquisition of goods and services coordinated timely from the right sources in line with the principle of value for money.
2. Suppliers communicated to timely on quality of goods and services in line with the company policy.
3. Local purchase orders raised accurately and on time
4. Vendor tax invoices scrutinized and forwarded to finance for payment accurately and on time.
5. End users advised on ETA’s for goods on back order accurately and on time.
6. Back order managed accurately and on time.
7. Vendors managed effectively.

People Management
Manage team and individual performance;

1. SMART annual performance objectives set.
2. HR policies and procedures adhered to.
3. Formal performance undertaken twice annually and performance objectives achieved by team members as set out in job profile/ performance agreement.
4. Recruitment process adhered to in line with company procedures and policies.
5. Orientation done within 1 month of appointment in line with company procedures and policies.
6. Personal development plan developed for the team annually.
7. Training needs submitted within a specified time frame.
8. Coaching and counseling conducted to meet individual needs.

Customer Relations
Maintain and enhance Customer relations;

1. Harness continued customer loyalty.
2. Conduct positive customer survey.
3. Resolve all queries quickly and effectively.
4. Provide advise to the end users on acquisition of goods and services.

Safety Assurance
Safety standards are adhered to;

1. Ensure Health and Safety standards, regulations and procedures are adhered to at all times.
2. Ensure correct PPE is worn at all times.
3. Rectify and report unsafe practices/potential hazardous situations, to the relevant supervisor.
4. Perform additional duties or responsibilities, which fall reasonably within the ambit of the job description, or in accordance with operational requirements.

Qualifications & Experience
1. Grade 12 Certificate
2. Degree in Business Administration, Procurement/Supply Chain Management
3. CIPS
4. MSc in a Supply Chain related programme – added advantage
5. Four (4) – Six (6) years’ experience in the mining environment and/or industry.
6. Member of ZIPS – Mandatory
7. Valid Driver’s license.

Job Specific Competencies
1. Proficient in computer (Excel, word and power point)
2. Good interpersonal and communication skills.
3. High degree of accuracy and attention to detail
4. Team Leadership
