Background

Zambia Sugar Plc. is an ABF Group sugar company and is the leading sugar producer in Zambia. Its main activities are the growing of sugar cane, the production and marketing of sugar and other sugar downstream products.

The company invites applications from suitably qualified and experienced persons to fill the following positions in the Supply Chain Department to be based at Nakambala:

Responsibilities

  • Using ERP generated perpetual stock verification list, complete stock check/count of all items (1st and 2nd count, where applicable) listed within the week, allowing adequate time for subsequent stock adjustments and authorization.
  • Ensure accurate data input of weekly stock results into the ERP system in accordance with % Error KPI.
  • Reconcile stock discrepancies by checking the system transactions against physical items during second and third count to investigate weekly stock count variances as instructed by Inventory Manager (recount and check/update documentation).
  • Carry out stock counts of critical production material and spares as required/requested by the Inventory Manager (daily or as required).
  • Produce final weekly stock variance report with commentary for authorisation.
  • Investigate issue requisition rejections related to stock variances – count stock and check documentation.
  • Identify expired items to be flagged by physically checking the expiry dates and escalate to the Inventory manager to adjust records.
  • Identify obsolete or damaged stock by physically inspecting and report to the Inventory manager for appropriate action i.e. issuing to users using requisition for various purposes.
  • Record physical count on the stock sheet, rearranges stock to avoid deterioration and mis- issuing.
  • Examine records by verifying the date of the last count (2nd count) ensuring that there are no arithmetical errors or obvious omission or duplication in posting or capturing of requisitions to ensure that there has been no difference over units of issue.
  • Ensure compliance to the FCFQ is achieved through rigorous engagement with group and internal audit (this includes maintaining relevance to current systems, policies & procedures).
  • Maintain housekeeping of designated stores area (5S) in accordance with SHERQ and ISO standards (where applicable).
  • Responsible for binning and confirmation / verification of goods handed over to Inventory from Receiving, in accordance with segregation of duty.
  • Binning of stock items timeously, accurately and in the correct location.
  • Audit and identify all bins/aisles which are without labels and ensure that labels are created or replaced timeously.
  • Weekly audits of material storage accuracy, in terms of aisle and bin allocation and liaise with Inventory Operations Specialist to correct and ensure binning accuracy.
  • Create new aisles/bins as at when required by the Issuing section.
  • Promote and adhere to business procedures, policies and guidelines, including, without limitation, those relating to SHERQ, Competition Law and Anti-Bribery and Corruption (ABC).
  • Execute any other duties that as assigned to by the supervisor from time to time.

Qualifications and Experience

  • Grade 12 School Certificate.
  • Computer literate.
  • Strong numerical and analytical skills.
  • Certificate in Purchase and Supply or any business-related course.
  • Working knowledge of Inventory technology systems advantageous.
  • Preferably 3 years’ experience in general stores advantageous.
  • Suitably qualified applicants must submit certificates verified by the Zambia Qualifications Authority (ZAQA).
