Role Overview

The team assistant will provide comprehensive and proactive support to the Country Manager, the Zutari Zambia office and visitors to Zambia. The position requires proficiency with office applications and in organising digital information, broad administrative skills, and a high level of efficiency.

Role Responsibilities

  • Assist in maintaining office compliance to the Zutari Information Management Standard (IMS) and updating content to the company intranet including the Opportunity Management System (OMS)
  • Responsible for maintaining adequate levels of office supplies and coordinating purchase of the same and sundry items required by the team and processing any invoices/expenses thereof
  • Day to day administrative duties as required: send and receive emails, printing, photocopying, scanning, faxing, collating, binding and filing of reports and documents, housekeeping duties, coordinating courier services
  • Contribute to projects and activities as appropriate for the team e.g. project co-ordination, research, and communication support and day-to-day operational activities
  • Prepare for and provide support for various meetings, event management e.g. catering, room set up, audio/visual equipment, clean/tidy rooms afterwards etc.
  • Coordinate necessary arrangements for visitors and staff regarding duty travel including submission of travel requests, flight and hotel reservations and other related matters.
  • Administer and minute key meetings, including the management of meetings rooms
  • Promote and contribute to a safe, clean and secure environment for staff and visitors
  • Proactively identify where additional support can be given to the team

Minimum Requirements

  • Training in business administration, finance, secretarial or clerical work
  • Experience using Microsoft Office Packages – including Word, Excel, Outlook and PowerPoint
  • 5-7 year of experience in an admin related role
  • Experience working in a fast-paced environment will be an added advantage
