To manage, control, and maintain all project documentation (including drawings, specifications, quality records, transmittals, and correspondence) to ensure traceability, accuracy, and compliance with client and company document control procedures. The Document Controller plays a key role in supporting the engineering, construction, and QA/QC teams by ensuring documents are correctly issued, distributed, revised, and archived.

Key Responsibilities:

Implement and maintain the document control system in accordance with project requirements and document control procedures
Receive, register, track, and issue technical documentation such as IFC drawings, datasheets, ITPs, method statements, and procedures
Assign document numbers and maintain a master document register (MDR) and drawing register
Distribute documents to internal departments, subcontractors, and client representatives as per the distribution matrix
Ensure correct revision control of documents and prevent the use of obsolete information
Handle incoming and outgoing transmittals, including hard copies and digital formats
Coordinate with engineering, procurement, construction, and QA/QC teams to ensure timely document updates
Support QA/QC documentation (e.g., compiling dossiers, redlines, as-built markups, NCRs, etc.)
Assist in the preparation of final data books, turnover packages, and project close-out documentation
Back up project documentation securely and assist with audits or compliance checks

Minimum Qualifications & Requirements:

Education:

Grade 12 / School Leaver Certificate
Certificate or Diploma in Office Administration, Records Management, Document Control, or related field
Experience:

Minimum 3–5 years’ experience in document control on industrial, mining, or construction projects
Familiarity with engineering and construction documentation (E&I discipline exposure is advantageous)
Experience using electronic document management systems (EDMS) such as Aconex, Procore, SharePoint, or similar
Understanding of ISO 9001 quality management systems and document control procedures

Skills & Competencies:

Strong organisational and administrative skills
Attention to detail and accuracy in record keeping
Excellent written and verbal communication (English)
Proficiency in MS Office (Word, Excel, Outlook)
Ability to prioritise workload and work under pressure to meet deadlines
Discretion and professionalism when handling confidential information

Working Conditions:

Project-based role at a remote mining site (e.g., Lumwana)
Office environment, with regular interaction with engineering and site teams
May involve extended hours or rotation-based work depending on project phase
