Job Summary
• To provide extensive support to senior management / executives by acting as an Administrative Assistant, require a total understanding of the role, objectives responsibilities of the Director People Function and a thorough knowledge of the group structure, policies and activities.
• Exercise considerable initiative and high initiative and a degree of social skills dealing with the full range people in many varying situations representing the banks image in high profile situation.

Job Description
First point of contact for the Director People Function
• Act as the main reference point both in the presence and absence of the Director PF. Assess priorities, respond to/resolve a wide range of queries, channelling to the appropriate area where necessary.
• In all matters ensure that the Director’s preferred style/known wishes are conveyed, being aware of the degree of discretion that can be exercised on behalf of the Director
• Act as receptionist for visitors, mostly high profile, conveying a professional image at all times
Management Support
• Arrangement of meetings and all relevant forums as required.
• Total control of team’s dairy scheduling/rescheduling appointments, meetings etc.
• Preparation of agendas, as well as writing and dissemination of minutes.
• Provide relevant back-up papers, researched information etc. Draft responses for signature by Director People Function where appropriate.
• Establish and manage filing system.
• Provide reconciliations of all suppliers
• Exercising considerable initiative and a high degree of social skills dealing with the full range of people in many varying situations representing the Bank’s image in high profile situations.
• Monitor all calls taking necessary action personally or diverting to other areas, referring to the People Function team only on essential matters.
• Transcribe from dictation correspondence, reports and other material that is frequently highly sensitive or confidential. Terms may be technical and complex.
• Maintain library of People Function information.
• Meeting client/customer’s needs and exceeding their expectations.
• Arrangement of travel and processing claims.
• Proactive team deadline management.
Material Management
• Establish user friendly processes for People Function team to access communications material.
• Proactively co-ordinate the departmental work-flow – information diagnoses and problem solving.
• Investigate and implement systems that improve the efficiency of managing information within the PF function.
• Act as the main reference point both in the presence and absence of the Director People Function.
• Respond to resolve a wide range of quarries on People Function, channeling to the appropriate area as necessary.
• Liaise with management and staff regarding a wide range of ongoing matters.
• Monitor progress and ensure all actions and paperwork are co-coordinated in preparation for meetings in line.
Strategic Management
• To oversee coordination and collation of monthly & quarterly strategic reports for strategic business reviews, board meetings etc ensuring departmental deadlines are met for PF activities and submissions
• Monitor key strategic initiatives and provide progress reports while following up with Initiative leads to ensure that plans are executed seamlessly.
• To monitor ongoing correspondence/reports highlighting pertinent items and bringing to the Director’s attention or dealing with personally, implementing any appropriate action
The job holder will be expected to undertake any other appropriate duties as required for the effective operation of Corporate Banking

Education
National Diplomas and Advanced Certificates: Human and Social Studies (Required)
