PURPOSE OF THE ROLE

To support the Finance and Administration departments in executing daily operational, financial, and administrative tasks while gaining practical professional experience in a structured corporate environment.

KEY RESPONSIBILITIES

A. Finance Functions

  • Assist in capturing and posting transactions into accounting systems.
  • Support preparation and processing of supplier invoices and payments.
  • Assist with petty cash management, verification, and reconciliation.
  • Maintain proper filing of financial documents (vouchers, receipts, invoices).
  • Support bank reconciliation preparations.
  • Assist in preparation of monthly financial schedules and reports.
  • Support stock, inventory, and asset register updates.
  • Assist with audit preparations by organizing financial documentation.
  • Support budget monitoring and expense tracking.
  • Ensure compliance with internal financial controls.

B. Administration Functions

  • Maintain accurate office filing and record management systems.
  • Assist with procurement documentation (quotations, purchase orders, delivery notes).
  • Support HR administration including employee files, leave records, and contracts filing.
  • Assist in onboarding and induction logistics for new staff.
  • Manage office correspondence (emails, letters, calls).
  • Prepare meeting minutes and follow-up action lists.
  • Support organization of meetings, trainings, and workshops.
  • Assist with office supplies control and stock monitoring.
  • Support company compliance documentation management.

C. Professional Development Responsibilities

  • Maintain confidentiality of company information.
  • Adhere to company policies, procedures, and code of conduct.

QUALIFICATIONS & REQUIREMENTS

  • Currently enrolled in ACCA program.
  • Basic understanding of accounting principles.
  • Computer literacy in MS Excel, Word, and email.
  • Experience with accounting packages such as Pastel, Palladium, ZOHO or QuickBooks is an added advantage.
  • Strong numerical and analytical skills.
  • Good written and verbal communication skills.
