Musekese Conservation is seeking a detail-oriented and proactive Finance and Administration Assistant to support its growing operations in wildlife protection and ecosystem management. The FAA will be responsible for preparation of payments, maintaining accurate records, supporting procurement and logistics, and ensuring smooth administrative operations, in alignment with internal controls and donor compliance requirements.
Key Responsibilities
Finance
- Prepare payments for suppliers, staff, and field operations in line with approved procedures.
- Ensure all transactions have proper supporting documentation and appropriate approvals
- Maintain proper supporting documentation for all transactions and ensure timely filing (physical and digital).
Administration
- Support procurement of goods and services, including obtaining quotes, maintaining supplier records, and ensuring transparent processes
- Maintain filing systems (physical and digital) for administrative and financial records.
- Coordinate logistical arrangements for meetings, field team movements, and conservation activities.
- Day to day fleet management, that is, maintaining up-to-date maintenance report, reviewing log sheet and submitting both reports every month
- Maintaining an up-to-date and accurate fixed assets register.
- Manage bills payments
- Security of the offices, overseeing all office equipment and ensuring that they are in good working condition.
- Management of leases and all offices running contracts
Qualifications and Experience
- Grade 12 Certificate
- Diploma in accounting, Finance, Business Administration, or a related field.
- Minimum 2 years of experience in a similar finance/admin support role, preferably in an NGO or project-based environment.
- Knowledge of accounting software (e.g., QuickBooks, Pastel, or similar).
Skills and Competencies
- Strong organizational and time-management skills.
- High level of accuracy and attention to detail.
- Ability to handle sensitive information with confidentiality.
- Good interpersonal and communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Valid driver’s license.
