Job Purpose:
To support the effective delivery of human resource services by ensuring compliance with Zambia’s labour laws and organizational HR policies. The HR Officer will be responsible for recruitment, employee relations, performance management, training coordination, and maintaining up-to-date HR records.
Key Responsibilities:
Recruitment & Onboarding
▪️ Assist in the recruitment process including advertising, shortlisting, interviewing, and onboarding.
▪️ Prepare job descriptions and employment contracts in line with Zambian labour regulations.
Employee Records & HR Administration
▪️ Maintain accurate employee records including contracts, leave records, and personal files.
▪️ Manage HR databases and HRIS systems (if available).
▪️ Process staff movement forms, confirmations, promotions, and exits.
Payroll Support & Benefits Administration
▪️ Liaise with the accounts/payroll department to ensure timely submission of payroll inputs.
▪️ Track employee benefits such as NAPSA, NHIMA, gratuities, and medical schemes.
Labour Law Compliance
▪️ Ensure the company is compliant with Zambian labour laws, statutory obligations (NAPSA, NHIMA, ZRA), and internal HR policies.
▪️ Handle disciplinary procedures and grievances in line with the Employment Code Act of Zambia.
Performance Management
▪️ Support in implementation of performance appraisal systems.
▪️ Monitor employee performance and provide support to managers during appraisals.
Training & Development
▪️ Coordinate internal and external training programs.
▪️ Maintain training records and assess training needs.
Employee Relations
▪️ Promote a healthy work environment through engagement activities.
▪️ Assist in conflict resolution and team-building initiatives.
Qualifications and Experience:
▪️ Bachelor’s Degree in Human Resource Management, Public Administration, Business Administration, or related field.
▪️ Minimum 2–3 years of experience in a similar HR role.
▪️ Member of the Zambia Institute of Human Resource Management (ZIHRM) – mandatory.
▪️ Good understanding of the Zambian Employment Code Act, 2019.
Key Skills and Competencies:
▪️ Strong interpersonal and communication skills.
▪️ Knowledge of Zambian labour laws and HR best practices.
▪️ High level of integrity and confidentiality.
▪️ Good organization and administrative skills.
▪️ Proficient in Microsoft Office (Word, Excel, PowerPoint).
▪️ Experience with HR information systems (an added advantage).
