JOB PURPOSE
The HR Assistant will provide administrative support to the HR department, assist with recruitment processes, maintain employee records, and help with various HR-related tasks. This role is essential in ensuring that our HR operations run smoothly and effectively.
RESPONSIBILITIES
- Assist with day-to-day operations of the HR functions and duties.
- Provide clerical and administrative support to Human Resources Officers and Department as a whole.
- Compile and update employee records (hard and soft copies).
- Process documentation and file documents relating to personnel activities (staffing, recruitment, training, grievances, performance evaluations, on/off boarding etc.).
- Coordinate and plan for HR quarterly meetings and take minutes.
- Deal with employee’s basic requests regarding human resources issues, rules, and regulations.
- Assist in providing with documentation for payroll preparation such as relevant data (absences, acting allowances, new employees, leaves, etc.).
- Properly handle and escalate complaints and grievances to the relevant authorities.
- Support the onboarding process for new employees, ensuring they complete all necessary documentation and understand company policies.
- Manage and support logistics relating to staff functions and events.
- Assist with updating the company’s database accordingly.
- Provide support on resourcing assignments at various recruitment stages for various employment types.
- Help ensure compliance with labour laws and regulations, assisting with audits as necessary.
- Maintenance and updating of various status trackers and provision of data from the trackers.
- Any other duties as assigned from time to time.
QUALIFICATIONS, KNOWLEDGE AND SKILLS:
1. Minimum level of academic qualifications required to perform effectively in the role
- GCE or Equivalent with Credits or Better in Five Subjects, Mathematics and English Included.
- Diploma in Human Resources Management or other related fields
- Member of Zambia Institute of Human Resources Management (ZIHRM)
2. Minimum level of Work experience required to perform effectively in the role
- Not less than 3 Years Work experience in a busy and complex work environment in a similar Position
