The MD Assistant will provide high-level administrative, organizational, and operational support to the Managing Director. This role ensures the MD’s time is effectively managed and all executive matters are handled efficiently. The candidate will also act as a liaison between the MD’s office and internal/external stakeholders.

Key Responsibilities

  • Calendar & Schedule Management:
    • Manage the MD’s calendar, appointments, meetings, and travel schedules.
    • Ensure timely coordination and reminders.
  • Documentation & Reporting:
    • Prepare reports, presentations, minutes, and correspondence on behalf of the MD.
    • Assist in tracking KPIs, business reports, and project progress updates.
  • Stakeholder Liaison:
    • Act as a bridge between the MD and internal departments/external partners.
    • Follow up on action items from meetings to ensure timely execution.
  • Event & Meeting Coordination:
    • Organize and coordinate company events, board meetings, and high-level activities.
  • Research & Confidentiality:
    • Conduct research and compile information as requested by the MD.
    • Handle sensitive data with discretion and maintain confidentiality.
  • Language Support (if applicable):
    • Translate and interpret documents/conversations (Chinese-English proficiency is an advantage).
  • General Administration:
    • Perform other executive support tasks as assigned.

Recruitment Requirements

1. Education:

  • Bachelor’s Degree in Business Administration, Management, HR Management, or a related field.

2. Experience:

  • 2–3 years in executive assistance, administration, or office management.
  • Prior experience supporting senior management or in a multinational organization is a plus.

3. Skills & Competencies:

  • Communication: Excellent verbal and written skills.
  • Organization: Strong time management and attention to detail.
  • Technical Proficiency: Advanced MS Office (Word, Excel, PowerPoint, Outlook).
  • Independence: Ability to multitask and work with minimal supervision.
  • Professionalism: High integrity and discretion in handling confidential matters.

4. Language:

  • Mandatory: Fluency in English (spoken & written).
  • Preferred: Proficiency in Chinese (Mandarin).
