As we expand our footprint, we are seeking a proactive, detail-oriented, and resourceful Operations and Logistics Assistant to support the smooth functioning of our operations unit.
Position Summary
The Operations and Logistics Assistant will support day-to-day logistics, inventory, procurement coordination, and administrative functions to ensure timely distribution of goods and uninterrupted internal operations. The role requires a multitasker with excellent communication skills and strong organizational capabilities.
Key Responsibilities
Logistics & Distribution
- Coordinate local transport and distribution of medical supplies to clients and warehouses.
- Monitor delivery schedules and track shipments to ensure timely delivery.
- Liaise with suppliers, courier services, and internal teams for smooth logistics operations.
- Assist with customs clearance documentation and local transport arrangements where applicable.
Inventory & Asset Management
- Maintain up-to-date inventory records and stock movement registers.
- Assist in conducting periodic stock takes and reconciling variances.
- Monitor stock levels and alert the team on low stock or near-expiry items.
- Update and maintain the fixed asset register and tag new assets.
Procurement & Administrative Support
- Assist in raising purchase requisitions and verifying procurement documentation.
- Maintain a procurement tracker and follow up on outstanding orders.
- Provide administrative support for meetings, filing, logistics records, and operational reports.
- Ensure proper documentation of GRNs, delivery notes, and vendor invoices for timely payment.
Office & Fleet Coordination
- Supervise office utilities and supplies including fuel and stationery.
- Maintain accurate vehicle logbooks and monitor servicing schedules in coordination with drivers.
- Ensure cleanliness and maintenance of office premises and coordinate repairs when needed.
Qualifications and Experience
- Diploma or Degree in Logistics, Procurement, Business Administration, or a related field.
- 2–3 years experience in a logistics, operations, or supply chain support role, preferably in pharmaceuticals or FMCG.
- Valid driver’s license (Class B or better) is an advantage.
- Familiarity with inventory software or ERP systems is an added advantage.
Skills and Competencies
- Strong organizational and planning skills.
- Excellent written and verbal communication.
- Attention to detail and a proactive mindset.
- Ability to multitask and work under minimal supervision.
- Strong computer skills, particularly in Excel, Word, and Outlook.
Key Responsibilities Finance: Maintain accurate and up-to-date accounting records and ledgers. Prepare monthly, quarterly, and annual financial reports for internal and external stakeholders. Prepare and monitor company budgets, forecasts, and cash flow statements. Manage payroll, statutory compliance (ZRA, NAPSA, NHIMA), and related remittances. Process supplier payments, staff reimbursements, and handle bank reconciliations. Ensure proper documentation and authorization of all financial transactions. Coordinate annual audits and liaise with external auditors and financial institutions. Manage inventory accounting and reconciliation of stock values with warehouse data. Administration: Oversee administrative functions, including procurement, fleet, and facility management. Maintain an updated fixed asset register and ensure proper insurance coverage. Support procurement processes, ensuring compliance with internal controls. Ensure timely renewal and management of licenses, leases, and service contracts. Supervise administrative staff and ensure the office is functioning efficiently. Organize logistics for company meetings, workshops, and external engagements. Maintain secure and organised filing systems for both financial and administrative records.
High attention to detail, accuracy, and confidentiality. Strong analytical and problem-solving abilities. Excellent interpersonal and communication skills. Proficient in Microsoft Office Suite (Excel, Word, Outlook). Ability to prioritize and manage multiple tasks under pressure. Strong organizational and team leadership capabilities. Full Grade 12 Certificate. Bachelor’s Degree in Accounting, Finance, Business Administration or related field. ZICA Licentiate, ACCA Level II/III, or CIMA equivalent. Minimum of 3 years’ experience in a finance and administration role, preferably in a pharmaceutical or FMCG environment. Proficiency in accounting software (e.g., QuickBooks, Pastel, or similar). Solid understanding of financial regulations, ZRA compliance, and payroll systems. Membership with ZICA or another recognized professional accounting body is an added advantage. Valid Zambian Driving License
