Job Summary:
Cinnamon Pastries, a growing bakery business in Zambia, is seeking a proactive Sales Administrator to provide administrative support to our sales team and drive business growth. This role is ideal for an organized individual with a passion for the food industry, who can manage sales operations, coordinate with the team, and contribute to the company’s expansion in the competitive FMCG market.

Key Responsibilities:

  • Process and manage sales orders, ensuring timely and accurate fulfillment for customers.
  • Prepare and issue invoices, track payments, and follow up on outstanding accounts.
  • Maintain accurate sales records, including customer databases and sales reports.
  • Coordinate with the sales team to monitor performance against targets and provide administrative support.
  • Assist in inventory management by tracking stock levels and coordinating with the production team to ensure product availability.
  • Handle customer inquiries and complaints, ensuring excellent service and satisfaction.
  • Support marketing and promotional activities, such as organizing events or managing social media updates for sales campaigns.
  • Liaise with logistics teams to ensure timely delivery of products to clients.
  • Generate weekly and monthly sales reports for management review.
  • Perform other administrative tasks as assigned to support the sales department.

Qualifications and Skills:

  • Experience: 1-3 years of experience in sales administration, customer service, or a related role, preferably in the food industry (e.g., bakery, FMCG).
  • Education: Diploma or Bachelor’s Degree in Business Administration, Sales, Marketing, or a related field.
  • Skills:
    • Strong organizational and multitasking abilities.
    • Excellent communication and interpersonal skills to interact with customers and team members.
    • Proficiency in MS Office (especially Excel for sales tracking and reporting).
    • Familiarity with CRM software or sales management tools is an advantage.
    • Proactive attitude and ability to work independently in a fast-paced environment.
  • Preferred Attributes:
    • Experience in the bakery or FMCG sector, with an understanding of sales cycles and customer needs in this industry.
    • Knowledge of the Zambian market and consumer preferences in the food sector.
    • A passion for pastries and contributing to a growing local business.
