Overall Purpose of the Job:

The Registrar is a senior administrative officer responsible for providing leadership in the development, implementation, and management of academic and administrative policies, systems, and procedures of the university college. As a key member of the executive team, the Registrar will ensure regulatory compliance with the Higher Education Authority (HEA), oversee student administration, records management, and support the academic governance of the institution. This position plays a central role in maintaining academic integrity and enabling strategic institutional development.

Key Duties and Responsibilities:

  • Serve as the custodian of student academic records and institutional policies.
  • Provide administrative support to the College Senate and Governing Board, ensuring accurate documentation of academic decisions and policies.
  • Oversee admissions, registration, examinations, academic calendar, certification, and graduation processes.
  • Ensure compliance with all relevant regulations set by the Higher Education Authority (HEA) and other statutory bodies.
  • Coordinate quality assurance activities in collaboration with academic departments and relevant external agencies.
  • Develop and implement efficient information systems for student data, academic records, and institutional reporting.
  • Supervise and mentor administrative staff to maintain high standards of service delivery.
  • Manage communication between academic departments and administrative units.
  • Represent the university college in relevant professional and regulatory forums.
  • Support the Principal and management team in institutional planning, audits, and accreditations.

Minimum Qualifications and Experience:

  • A Master’s degree in Administration, Management, Higher Education, or a related field from a recognized institution.
  • A minimum of five (5) years of progressive experience in administration or management within a higher education institution.
  • Demonstrable knowledge of higher education systems, governance, and compliance frameworks in Zambia.

Preferred Competencies and Skills:

  • Strong leadership and organizational skills with the ability to manage multiple priorities.
  • Excellent knowledge of Zambian higher education regulatory requirements and processes.
  • Proficiency in ICT systems relevant to academic administration (e.g., student information systems, databases).
  • Outstanding written and oral communication skills.
  • High ethical standards and commitment to institutional transparency and accountability.
  • Ability to foster collaboration across academic and administrative departments.

Terms of Appointment:

Contract Type: Full-time

Duration: Three (3) years, renewable based on performance and institutional needs.

Location: Lusaka, Zambia
