Invictus Hill is seeking a detail-oriented and proactive Administrative & Procurement Clerk to support the Finance and Procurement functions. This role is designed to strengthen compliance, reduce operational costs, and enhance efficiency in supplier management, purchasing, and inventory control.

Key Responsibilities:

  • Maintain and update the supplier master database, ensuring compliance and accuracy.
  • Identify cost-saving opportunities and support vendor performance evaluations.
  • Engage suppliers to obtain and manage credit terms.
  • Assist in reconciling accounts payable and intercompany transactions.
  • Centralize and control purchase orders (POs) for consistent authorization and traceability.
  • Compile and maintain supplier invoices, both digitally and physically.
  • Support inventory management using the Kardex system and participate in monthly stock counts.
  • Ensure accurate data entry in the ERP system across procurement, inventory, and finance modules.
  • Perform additional tasks as required by management to support operations.

Qualifications and Skills:

  • Diploma or Bachelor’s Degree in Purchasing and Supply, Procurement, Business Administration, or a related field.
  • Minimum of 1 year of experience in procurement or administrative support, preferably in mining, construction, or industrial sectors.
  • Knowledge of supply chain management and inventory control.
  • Proficiency in Microsoft Excel and familiarity with ERP systems (Sage, SAP, or similar).
  • Strong understanding of purchase order workflows and financial documentation.
  • Excellent organizational, numerical accuracy, and data management skills.
  • Strong written and verbal communication in English.
  • High level of integrity, confidentiality, and professionalism.
