Job Purpose
The Executive Assistant (PA) will perform a wide range of administrative and executive support attached to the Executive Office. Coordinating the Executive Office daily to ensure the efficient and smooth day-to-day operation of the Office. Making travel and meeting arrangements, preparing reports and maintaining appropriate filing systems
Summary of Key Responsibilities;
- Assist the MD and the Executive in preparing board materials, follows up on matters arising from board, management, and Committee meetings and externally attended meetings on request;
- With the consultation of the Office Manager plan internal and External meetings and take detailed minutes. This will also involve planning of Corporate Events and Internal Celebrations
- Be responsible for heavy calendar management, requiring interaction with both internal and external executives, as well as consultants, to coordinate a variety of complex executive meetings;
- Supervise the activities of the administrative staff working in office of the Country Manager
- Prioritize and manage multiple tasks simultaneously, and follow through on issues in a timely manner;
- Write and distribute email, correspondence memos, letters, faxes and forms and develop and maintain a filing system
- Compile and disseminate board materials and documents in coordination with the Company Secretary
- Support the Executive Team to track key work and update timelines
- Update and maintain Executive office policies and procedures
- Work with Procurement to order office supplies and research new deals and suppliers
- Review and summarize miscellaneous reports and documents and prepare background documents;
- Prepare agendas and plans for meetings attends meetings and take minutes
- Submit and reconcile expense reports for the Executive Office
- Composing, preparing, and editing correspondence that is sometimes confidential;

Qualifications and Experience
- Advanced Diploma or Degree in Business /Public Administration/ Public Relations or equivalent in any business-related field
- Must have a minimum of 3+ years of work experience as an Executive Assistant /Personal Assistant/ Admin Assistant for a Corporate Organization ( Insurance, Banking, Telecoms or Engineering Company)
- Must have proven experience in Preparing Board-Packs
- Experience of short-hand of 100 to 120 WPM will be a plus
- Must have reasonable experience in Basic Accounting
- Knowledge of Office Management Systems and Procedures
- Must be proficient in MS Office (Especially PowerPoint & Excel)
- Must be open-minded, young, energetic and flexible
- Should be able to work under minimum supervision and demonstrate maturity among the team
Summary of Key Responsibilities: Develop, plan, and execute the organization’s financial strategy Organize, manage, and supervise department operations and activities to ensure best practices are followed and they are in compliance with regulatory requirements Serve as a subject matter expert for all matters related to financial and accounting activities Act as the designated CFO for Bank of Zambia purposes. Maintain oversight of all financial reporting, internal controls, and audits. Prepare and submit financial statements, regulatory returns, and reports to the Bank of Zambia and the parent company. Establish and maintain efficient accounting and reporting systems and procedures Lead the funding and liquidity management process Manage budgeting, forecasting, and cash flow management processes aligned with both local and group strategic goals. Ensure compliance with local GAAP, IFRS, and regulatory frameworks. Oversee tax compliance, including local regulations, international tax treaties, and transfer pricing considerations. Organize and manage statutory tax reporting for indirect and direct taxation Identify and record all transactions undertaken by the organization Prepare accounts and verify the reliability and relevance of market prices and fair values used when reporting Provide accurate and complete financial information to decision makers and other business units as needed Review and analyze expenses, revenue, and losses to identify opportunities and improve performance Manage currency risk and mitigate exposure to exchange rate fluctuations. Support fundraising efforts, investor reporting, and financial modeling. Review the budget on a monthly basis to verify the organization is meeting its financial objectives Establish, review, and optimize department rules, frameworks, procedures, and workflows Identify, analyze, mitigate, and monitor all financial risks, trends, and evolutions in the regulatory and competitive landscapes Direct the documentation, maintenance, and reporting of financial information Required Skills and Competencies Excellent communication skills Strong analytical skills Problem solving skills Excellent leadership skills Stakeholder management skills High integrity and ethical conduct Attention to detail
Bachelor’s degree in Finance or Accounting, or a related field Qualified Accountant (Full CA Zambia, ACCA or CIMA). A Masters in Finance or Accounting will be a plus Must have a minimum of 7+ years in a senior financial leadership role with a Fintech, Banking, Mobile Money, E-Money company Must have a minimum of 4+ years’ experience in a regulated financial services environment preferred Must have experience with Bank of Zambia reporting procedures Experience with forecasting, budgeting, and financial reporting Experience working at a subsidiary level within a group structure, reporting to a parent company, is an advantage. Strong knowledge of Zambian financial regulations, accounting standards, and local tax laws. Familiarity with international finance practices, IFRS reporting, and transfer pricing rules. Ability to manage currency risks and understand the local market environment. Must be young and vibrant Cross-cultural adaptability and sensitivity Must be comfortable working in a startup environment: hands-on, flexible, and proactive Proficiency with accounting software and Microsoft Office Suite Must be a member of ZICA
