Human Resource and Administrative Officer
Job Purpose
To provide efficient HR and administrative support to ensure smooth day-to-day operations of the organisation, assist in implementing human resource policies, and maintain accurate personnel and administrative records in line with company and regulatory requirements.
Key Responsibilities
Human Resources Support
- Assist with the recruitment process including advertising vacancies, arranging interviews, and onboarding new employees.
- Maintain and update employee files, leave records, and other related HR documents.
- Support performance management activities by preparing evaluation forms and tracking submission timelines.
- Assist in the administration of payroll data and employee benefits.
- Ensure compliance with labor laws, health and safety regulations, and company HR policies.
- Coordinate staff training, welfare programmes, and employee engagement initiatives.
Administration Support
- Handle general administrative duties such as filing, correspondence, and document control.
- Manage office supplies, equipment, and logistics to ensure efficient operations.
- Support travel arrangements, accommodation bookings, and transport coordination for staff and visitors.
- Maintain an updated inventory of company assets, stationery, and consumables.
- Assist in organizing company meetings, workshops, and events.
Qualifications and Experience
- Diploma or Degree in Human Resource Management, Business Administration, or related field.
- At least 2–3 years of experience in HR or administrative role.
- Member of ZIHRM (Zambia Institute of Human Resource Management) is a must.
- Knowledge of Zambian labour laws and HR practices.
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and HR information systems.
Key Competencies
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- High level of integrity, confidentiality, and attention to detail.
- Ability to work under pressure in a fast-paced environment.
- Proactive and resourceful with a team-oriented mindset.
