Key Responsibilities
Attend to and assist employees who need guidance or services offered by the HR office.
Maintains staff files in an updated and orderly manner including the activation of new staff files and deactivation of records.
Assist with day-to-day operations of the HR functions and duties
Oversees and ensure employee grievances and disciplinary matters are handled in line with Company policies, country legislations and best practice
Conduct routine internal audits of HR files and ensure full compliance during audits.
Ensure employee wellness policies are adhered to by all employees.
Collaborate to develop and implement HR policies, procedures, and programs that align with the company’s objectives and goals
- Advising on matters such as pay, redundancy and safety.
- Onboarding and updating new employee information on sage.
- Administering contract letters, reports, disciplinary forms and all HR related documents.
- Arranging employee services such as welfare and counselling.
- Ensuring all employees are familiar with the prevailing labour laws and abide within it.
- Registering new employee with Napsa and Nhima upon joining the firm.
- Handling all related labour issues at the labour office
- Liaise with Operations to ensure employees are not deployed to sites without minimal amenities, working bathrooms, safe drinking water, guard room or adequate shelter at their deployed location.
- Update the turnover report daily and ensure information from control room is verified before adding to the report.
- Work with rostering clerks to ensure monthly time sheets/registers for all Operational staff, i.e. guards, supervisors, drivers, etc. are prepared on time.
- Ensure that sick notes, absenteeism’s, leave requests and all other similar incidents are correctly captured for payroll purposes.
- Work together with the Duty Officers in capturing charge slips and filing them where necessary.
- Ensure all complaints are channelled to the correct officers and follow up for prompt rectification.
- Work with rostering clerks to ensure that all monthly exits on payroll are accurately captured on the time sheets/register.
- Ensure that all necessary exit forms are filled in with the necessary information.
- Ensure all pay related queries are captured and submitted for approval on time.
- Coordinate with the Duty Officers to ensure that all new deployments are made on time and the manner prescribed and required by each client.
- Provide occasional support to other departments on HR issues that need to be addressed.
- You may occasionally be required to work outside working hours and should be on standby at all times to respond to any emergency calls from GWZ.
Qualifications & Experience:
- Advanced Diploma or Degree in Human Resources Management, Business Administration or related area
- 3 years’ experience in HR
- Member of the Zambia Institute of Human Resource
- 1 year experience working with Microsoft Navision
