To undertake the provision and maintenance of registry services in order to enhance storage and retrieval of information.
Key Responsibilities
1. Mail Management
- Maintains accurately and timely Register of incoming and outgoing mail in order to prevent misdirection and/or loss
- Records all correspondence in the mail register
- Distributes mail to respective offices/departments
2. File Management
- Undertakes timely file circulation in order to facilitate decision making
- Maintains an efficient filing system (alphabetical/numerical)
- Ensures proper file tracking and movement records
3. Records Maintenance
- Prepares timely and accurately files inventory in order to facilitate efficient storage and retrieval of information
- Conducts periodic file audits
- Implements records retention and disposal schedules
4. General Registry Duties
- Provides file retrieval services to staff
- Maintains confidentiality of sensitive documents
- Ensures proper storage conditions for records
Qualifications & Experience
Mandatory Requirements
- Grade Twelve (12) School Certificate or its equivalent
- Certificate in Records Management or its equivalent
- Must be a Zambian citizen
Preferred Qualifications
- Minimum of one (1) year post-qualification work experience in a busy office
- Knowledge of electronic records management systems
Required Skills & Attributes
Essential Skills
- Excellent oral and written skills
- Able to write comprehensive reports
- Able to communicate effectively in English
- Computer literate
Professional Attributes
- Strong organizational skills
- Attention to detail
- Confidentiality and integrity
- Ability to work with minimal supervision
Work Conditions
- Office environment
- May require lifting/moving of files
- Regular interaction with staff at all levels
